The Events Coordinator at the Temecula Valley Chamber of Commerce is responsible for overseeing, planning, and executing various networking and educational events. This role involves collaboration with the Special Events Manager and other departments to ensure successful event outcomes and member engagement.

  • Plan, prepare, organize, and implement all networking and education events including monthly mixers, coffee connections, workshops, and ad hoc events.
  • Report regularly to the Special Events Manager with updates on event planning, budget, sponsorships, and outcomes.
  • Support the Manager of Events on additional events as needed.
  • Ensure members are informed about events and are warmly greeted at them.
  • Secure sponsors in advance of events and organize event timelines, presenters, and raffles.
  • Work with the Marketing Manager to create and distribute event flyers.
  • Set up and break down events, providing all necessary elements for the event.
  • Compile reservation lists for events, noting payment status and other relevant information.
  • Track event attendees using GrowthZone and update as necessary.
  • Work within event budgets and organize volunteer assistance.
  • Collect and recognize raffle prize donations and update the monthly events e-newsletter.
  • Market events through print, online channels, and social media.
  • Collaborate with the Membership Department to track non-member attendance and update GrowthZone with relevant notes.
  • Coordinate with Finance/Operations to track event expenses and update budgets.
  • Communicate clearly with sponsors, vendors, and members regarding event expectations and requirements.
  • Proficient in Microsoft Word, Excel, Constant Contact, Outlook, and Publisher.
  • Experience with GrowthZone or similar CRM systems.
  • Strong communication and organizational skills.
  • Ability to delegate and coordinate effectively.
  • Capability to manage multiple events simultaneously.
  • Strong problem-solving and relational skills.
  • Possess a strong ethical business attitude and be trustworthy.
