We are looking for a highly motivated, exceptionally organized, and versatile Entry-Level Event Marketing Coordinator to join our fast-paced marketing team. This is a foundational role perfect for someone eager to launch a career in event marketing. While the initial focus will be on administrative support and coordination, this position offers significant opportunity for rapid professional growth and increased responsibility within the first year.

  • Managing and maintaining event-related documentation, budgets, and timelines.
  • Coordinating all necessary administrative tasks, including processing invoices, tracking expenses, and managing inventory of event materials (swag, booth displays, etc.).
  • Handling vendor communication for smaller events, including obtaining quotes and confirming service delivery.
  • Overseeing event registration, guest lists, and follow-up communication.
  • Prioritizing and managing multiple event logistics concurrently (e.g., travel, shipping, setup, teardown) while adhering to strict deadlines.
  • Acting as the on-site logistical support for local events and occasionally traveling for larger national events.
  • Ensuring smooth communication flow between the marketing team, sales, and external partners.
  • Demonstrating a willingness to tackle any task required for successful event execution—from stuffing envelopes and packing boxes to meticulous data entry and on-site setup.
  • Maintaining a positive, proactive, and flexible attitude in a high-pressure environment.
  • Exceptional Organizational Skills: Proven ability to manage detailed lists, files, and multi-step processes without error.
  • Strong Multi-tasking Ability: The capacity to juggle several projects and priorities simultaneously under tight deadlines.
  • A Bachelor's degree in Marketing, Communications, Business, or a related field, OR equivalent relevant professional experience (e.g., internship, project management).
  • High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) or Google Workspace.
  • Prior internship or experience in an administrative, coordination, or event-related role.
  • Working knowledge of Notion, Asana, Trello, or other project management software.
  • Familiarity with marketing automation or CRM software (e.g., HubSpot, Salesforce).
