The Event Coordinator assists clients with event planning and coordination while supporting the Food & Beverage and Golf Course teams in the successful execution of club events. This role serves as the primary point of contact for clients post-contract, translating the client’s vision into detailed plans, timelines, and documentation to ensure seamless and memorable events.

Responsibilities

  • Establish and maintain positive, professional relationships with clients, ensuring a high level of service and satisfaction throughout the planning and execution process.
  • Conduct event detail meetings with contracted clients, including facility and golf course tours as needed.
  • Assist clients with menu planning, food and beverage selections, room and course set-ups, décor, and other requested services; ensure all requirements are clearly communicated and executed to client specifications.
  • Ensure compliance with club policies and contract terms, including guest counts, payment schedules, food and beverage minimums, and room rental times.
  • Collect event details and timelines and accurately prepare Banquet Event Orders (BEOs) for use by operations teams.
  • Enter and maintain events in the club’s sales system and event calendar; accurately manage client accounts and event files.
  • Partner closely with the operations team to ensure seamless execution of events, including participation in weekly BEO and planning meetings.
  • Collaborate with the sales team to ensure a smooth handoff after contract execution and serve as the primary client contact thereafter.
  • Upsell club products and services when appropriate to enhance the client experience and maximize event revenue.
  • Ensure all payments are collected in a timely manner and that all contract details are fulfilled.
  • Ensure a pleasant visit and exceptional experience for all guests; maintain strong guest relations before, during, and after events.
  • Stay current on event, hospitality, and industry trends, offering creative options and recommendations to enhance events.
  • Contribute to event goal setting, forecasting, and performance tracking in partnership with the sales and management team.
  • Build and maintain relationships with industry hospitality contacts, organizations, and vendors to strengthen brand exposure and industry partnerships.
  • Stay informed on departmental procedures, systems, and developments specific to the club and its locations.
  • Assist with special projects and additional duties as assigned by management.
