About The Position

The Events Coordinator at the University of North Carolina at Chapel Hill is a pivotal role within the Hussman School of Journalism and Media, responsible for the comprehensive planning and coordination of a variety of school-wide events and meetings. This position works closely with the Dean's office and other departments to oversee and execute all elements of events and programs that take place both on and off campus. The Events Coordinator will manage a diverse range of events including meetings, retreats, workshops, commencements, and celebrations, as well as alumni and donor events. The role requires a high level of collaboration to ensure that all purchases comply with university policy, and involves planning for logistics such as menu selection, communication of event details, facilities, seating arrangements, and technology needs. Additionally, the Events Coordinator will provide event attendance reports and follow-up as necessary. In this role, the Events Coordinator will be tasked with creating a standard process and procedure guide for event planning, facilitating these standardized processes to ensure consistent communication, scheduling, travel arrangements, and overall experience for speakers and guests. The position also involves maintaining an awareness of supplies purchased and owned by the school, as well as creating a reference database of previously used and potential future facilities, vendors, caterers, speakers, and other external parties related to event coordination. Furthermore, the Events Coordinator will manage an events calendar to enhance public awareness of current or upcoming meetings, visitors, speakers, and departmental events, thereby supporting school-wide efforts to improve interdepartmental collaboration and participation. The position will primarily collaborate with the Dean's office, Development and Alumni Affairs office, Communications team, and Undergraduate Hub in planning major events such as the first and last days of classes, commencement ceremonies, alumni and donor events, board meetings, the annual Hall of Fame Gala, and faculty or staff retreats and meetings. Coordination assistance and information will also be provided to additional faculty and staff departments and student groups as directed by the Dean or when bandwidth allows.
