About The Position
The Events Coordinator at Coppin State University plays a crucial role in providing professional and administrative support for campus or school events. This position involves coordinating and managing the day-to-day operations of events or meetings for various programs, departments, schools, or the campus as a whole. The coordinator will be responsible for generating proposals, contracts, and other essential documents to secure business for all services related to assigned events, which may include facilities, catering, printing, or speakers. Negotiating terms and conditions of contracts is also a key responsibility, allowing for some latitude in decision-making. In addition to contract management, the Events Coordinator will assist in strategic planning and goal setting for special events. This includes developing novel approaches to building business through special events, services, or incentives. The coordinator will also be involved in the development and implementation of event concepts and programming, which encompasses registration and logistics. Coordinating all logistical aspects of event or meeting management is essential, including scheduling, event themes, catering, and marketing efforts. The coordinator will assist in producing informational materials such as brochures, invitations, direct mail, and advertising to promote the university's facilities and services. The role requires maintaining a database or other records of clients, potential clients, and friends of the university, as well as administering the budget for assigned events. The Events Coordinator may also oversee facility logistics for events or meetings, which includes set-up and tear down, seating arrangements, technical requirements, and creating the desired atmosphere. Supervising staff and/or volunteers may be part of the role, ensuring efficient recruitment, interviewing, and training functions to maintain a highly involved and motivated team. The coordinator will also perform other related duties as assigned, contributing to the overall success of events at Coppin State University.
