About The Position

Events Coordinator, Sr. (part-time) under the Director of Project Humanities supervision and direction will plan, coordinate, organize, staff, and supervise events sponsored and facilitated by Project Humanities.

Requirements

  • Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Knowledge of accepted standards of courtesy, etiquette, social sense, and personal demeanor.
  • Knowledge of coordinating and supervising work activities of others.
  • Knowledge of principles, practices and methods of budgeting, and fiscal management.
  • Knowledge of basic program/event management.
  • Experience in event planning.
  • Skill intact and diplomacy skills in interacting with a variety of campus personnel and working as a liaison and/or supervisor.
  • Ability to work effectively and collaboratively with other team members, faculty and staff across the university.
  • Ability to develop and maintain cooperative working relationships both within and across organizational areas.
  • Skill in planning, analyzing and coordinating activities and establishing priorities for self and others.
  • Skill in effective communication, both verbal and written.
  • Ability to lead by example in communicating, participating, and encouraging support of institution's sustainability programs.

Responsibilities

  • Conceptualizes, coordinates, plans and implements Project Humanities online and in-person events (workshops, Lectures, Symposia, Panels, Special Events).
  • Coordinates, plans, and assists with event fundraising activities (Founder/ VIP receptions, signature lectures).
  • Coordinates, plans, and implements Community events for educational/fundraising purposes.
  • Coordinates, plans, and implements Special donor group events and activities.
  • Develops, recommends, and implements change to program goals and objectives.
  • Acts as liaison to other ASU and community groups and organizations planning and coordinating events in which Project Humanities and/or other Project Humanities staff/ student workers will participate.
  • Schedules and plans logistic timeframes to ensure handling of all event details.
  • Coordinates with Project Humanities team all aspects of event planning (obtaining equipment, rentals, and physical plant assistance).
  • Assists in maintaining proper housecleaning services related to program/office/event.
  • Creates and coordinates off-campus and on-campus event partnerships
  • Works closely with caterers for event food, beverages, service personnel, decor and clean up.
  • Arranges for appropriate parking and ancillary transportation as needed.
  • Coordinates security needs including personnel, for staff, guests, building, and property.
  • Coordinates and collects event guest and attendee lists and registrations.
  • Monitors event caterers to ensure proper set up for staff events; supervise student hosts.
  • Monitors clean up and/or tear down event activities.
  • Manages and maintains record keeping of all pertinent information.
  • Performs other tasks, projects and activities relevant to Event Coordinator, Sr. as assigned.
