About The Position

This role requires a professional with strong event production knowledge, organizational skills, interpersonal skills, and creativity. The Event Venue Specialist handles venue research, venue booking, contract review, negotiation, and show advancement. It involves detailed communication between venues, vendors, and production staff. The position ensures venues are properly booked, contracted, advanced, and coordinated, documentation is accurate, and processes are streamlined to deliver outstanding experiences. This position also involves working various positions at the events, requiring travel to approximately 5-7 regional events annually, each lasting 3–5 days, with 1–2 national events lasting 6–8 days throughout the season of late January through mid-July.

Requirements

  • Minimum of 3 years’ experience in dance, theater, entertainment production, or event planning.
  • Bachelor’s degree in Theatre, Performing Arts, Production, Hospitality, Communications, Business, or related field.
  • Ability to work on multiple projects concurrently and communicate confidently with multiple venues at once.
  • Technical theater, broadcasting, touring, and/or film/TV experience related to lighting, sound, scheduling, production, and logistics.
  • In-depth knowledge of Microsoft Windows OS & MS Office Suite with strong Excel skills.
  • Expert communication skills, both written and verbal, to clearly express details, rules, and concepts concisely.
  • Strong self-management and accountability.
  • Process-oriented with high accuracy and attention to detail.
  • Exceptional time management, organizational, problem solving, and analytical skills under stressful or uncertain environments.
  • Ability to work long hours while maintaining a positive demeanor in a dynamic environment.
  • Valid US Driver’s License and willingness to drive rental vehicles in any scheduled city.

Nice To Haves

  • In-depth knowledge of Asana Project Management software a plus.

Responsibilities

  • Venue research, booking, preliminary contract review and negotiation, and venue advancement and communication, as well as team coordination, billing review, and overall venue management.
  • Handle venue event details, COI submission, and coordinate with Production Department on outside vendors.
  • Manage Core Process documentation and system implementation for venue operations.
  • Keep venue management software system up-to-date and accurate.
  • Review final venue invoices to ensure billing accuracy.
  • On-event responsibilities will be assigned and subject to individual core competencies. They may include stage management, awards coordination, Boutique sales, media (photo/video), social media, technical director, and/or leadership roles including Event Manager or Show Director.
