The Medical Group Management Association (MGMA is looking for an Event Technology manager to join our Denver/hybrid team. The Event Technology Manager oversees and coordinates all conference related technology used across MGMA’s in person meetings and events. This includes the mobile app, inhouse CRM, housing and registration systems, exhibitor and sponsor platforms, and the department’s project management software (Jira). The role ensures these tools are properly configured, accurate, and up to date; facilitates crossfunctional coordination; leads internal technology planning meetings that apply the Product Development Life Cycle (PDLC) methodology; and supports ongoing improvements in event technology processes within an Agile environment. The Event Technology Project Manager is also responsible for maintaining reporting cadence for weekly and quarterly updates to stakeholders.-related technology used across MGMA’s in-person meetings and events. This includes the mobile app, in-house CRM, housing and registration systems, exhibitor and sponsor platforms, and the department’s project management software (Jira) functional coordination; leads internal technology planning meetings that apply the Product Development Life Cycle methodology; and supports ongoing improvements in event technology processes within an Agile environment.

  • Experience with CadmiumCD products preferred.
  • Experience with CRM tools, Microsoft Dynamics preferred.
  • Experience with Jira and/or Agile methodologies preferred (training available).
  • A Bachelor’s Degree or related experience is required
  • Three (3) or more years of experience in meetings, events, or conference planning, registration, and event project/product management or similar is required.
  • Must have reliable transportation.

Nice To Haves

  • A Certified Meeting Professional (CMP) or similar credential is preferred.
  • Project and/or Product management experience is preferred.
  • Knowledge of healthcare organizations and practices preferred.
  • Experience in Association Conference planning preferred.
  • An equivalent combination of education and experience may be substituted on a year for year basis.

Responsibilities

  • Works closely with Marketing and registration software/service partners to maintain registration and housing websites.
  • Works with the Sr. Manager, Meetings and Conferences to conduct pre-show logistics activities.
  • Coordinates cross-functional registration site flow and testing between registration partners and internal IT, service center, and accounting teams.
  • Coordinates the process of gathering registration information from cross-function teams
  • Serves as a primary point of contact for registration for both internal and external customers
  • Manages the general registration and exhibitor services emails, ensuring timely and courteous responses
  • Ensures attendee surveys are created, published, and presented to stakeholders.
  • Manages reporting with Decision Point and CRM (Microsoft Dynamics)
  • Ensures attendee-facing software is accurate, customer/user (CX/UX) friendly, and complete.
  • Works with the team on all event set up and accuracy including sessions and surveys, etc.
  • Collaborates with 3rd party partners on registration builds, etc.
  • Compiles pre-show registration and housing reports and updates post show reports
  • Reconciles registration revenue and housing expenses
  • Manages and troubleshoots on-site technology needs, including the registration desk, attendee check-in, and mobile app functionality.
  • Assists the Sr. Manager, Exhibits and Sponsorship with producing and sending electronic communication to exhibitors as needed.
  • Maintains, updates, and performs quality control reviews on the sponsorship and exhibit portions of the meetings’ websites and mobile apps to ensure accuracy and completeness.
  • Assists in advance and onsite with the creation of exhibitor and sponsor directories and set up of the Exhibitor Portal, including floor plans, budgets/contracts, and surveys.
  • Assist exhibitors in creating their virtual booth, including uploading content, reviewing the booth prior to launch, and training exhibitors on how to navigate a virtual conference successfully.
  • Works closely with the Director, Meetings & Conferences daily to ensure conference technology plans, timelines, and reporting needs are on track.
  • Learns, understands, and applies the Agile methodologies framework and work to ensure growth in the team’s PDLC maturity, including identifying process improvements and researching market opportunities and technology comparisons.
  • Serves as the owner for internal department meetings and hosts team calls.
  • Researches event technology industry updates, monitors technology trends, evaluates emerging needs, and manages RFPs when required.
  • Sets up the mobile app and website content builders in Cadmium CD and manages conference technical products throughout the event cycle.
  • Serves as the Department CRM liaison; conducts regular CRM analysis related to conferences, sets up events and products, maintains all related information and contracts uploads.
  • Ensures all pricing, promo codes, and coupon codes are created, active, accurate, and available for all in-person conferences.
  • Trains department colleagues on new and updated conference software technology and systems processes.
  • Evaluates data and provides recommendations; monitors dashboards and works with company data teams to ensure data/dashboard accuracy.
  • Serves as department contact for database projects and collaborates with Digital Services (IT)
  • Works with the Project Manager to ensure metrics are accurate, reported in a timely fashion, and adjusts as needs arise.
  • Prepares various reports by gathering, analyzing, and summarizing relevant information
  • Coordinates and maintains project timelines
  • Serves as primary owner of Jira (project/product management software) ensuring all tasks are created and updated regularly and leading all weekly/daily meetings.
  • Presents project and technology updates to key stakeholders, including roadmap progress.
  • Other duties as required and necessary to ensure the success of the organization
