What You Will Do Event Sales & Client Management Drive outbound sales initiatives to generate new private event leads and corporate partnerships. Respond to and manage all event inquiries via phone, email, and in person. Conduct site tours and walkthroughs, showcasing Maple & Ash’s private dining spaces and capabilities. Prepare, present, and manage proposals, contracts, and Banquet Event Orders (BEOs). Negotiate event terms within established guidelines. Serve as the primary client point of contact from initial inquiry through post-event follow-up, including feedback review and rebooking. Build long-term client relationships that encourage repeat business and referrals. Event Planning & Execution Plan and coordinate all logistical aspects of events, including menus, beverage selections, timelines, floor plans, and AV needs. Partner with culinary, FOH, and BOH teams to ensure seamless execution and consistent brand delivery. Serve as the onsite contact for all booked events. Oversee event setup, execution, and breakdown in coordination with event captains and management. Anticipate challenges and resolve issues in real time while maintaining a calm, solution-oriented presence. Address guest concerns pre- and post-event and ensure thoughtful follow-through. Marketing & Brand Stewardship Collaborate with Corporate Marketing, Culinary, and the Sales & Events Director on menu updates, launches, special events, and brand initiatives. Protect and elevate the Maple & Ash guest experience across all event and marketing-related touchpoints. Review guest feedback and reputation data to identify trends, opportunities, and improvement plans. Stay informed on competitive trends and emerging insights within the hospitality industry. Provide local market insights, partnership opportunities, and event moments to support Corporate PR, social media, email, and design initiatives. Proactively surface local storytelling opportunities for Corporate teams, without owning execution. Local Store Marketing & Community Engagement Own local store marketing initiatives that drive awareness, traffic, and community affinity within the Boston market. Identify, develop, and manage strategic local partnerships, including businesses, hotels, nonprofits, cultural institutions, and neighborhood organizations. Cultivate and activate relationships with local businesses and community leaders to increase brand visibility and generate business opportunities. Represent Maple & Ash at relevant community events, networking opportunities, and industry functions. Develop and execute grassroots marketing initiatives that extend beyond traditional paid media and digital channels. Serve as the primary local liaison between restaurant operations and Corporate Marketing, sharing timely insights, opportunities, and market-specific wins. Leadership & Operations Partner with the Executive Chef and culinary team to ensure exceptional food quality and guest satisfaction for all events. Adhere to financial plans, budgets, and departmental targets. Follow all corporate and restaurant SOPs, safety, and sanitation standards. Demonstrate professionalism, hospitality, and accountability in all interactions. Support broader company goals by owning assigned responsibilities and identifying opportunities to add value. Administrative & Reporting Create daily menus and manage all event-related paperwork, including BEOs and weekly BEO meetings. Maintain accurate and organized records within event management and CRM systems. Monitor reservation systems to ensure events are properly entered and plotted. Review private event sales performance and trends with leadership. Manage event supplies and assist with administrative tasks as needed.
