About The Position

As an Event Producer at MDM Entertainment, you’ll be at the center of bringing our clients’ visions to life. You’ll manage events from the planning stages through on-site execution, serving as the primary point of contact for clients, coordinating with venues and vendors, building detailed production documents, and ensuring every event runs smoothly from load-in to load-out. This role is ideal for someone who thrives in a fast-paced, creative environment, loves the energy of live events, and has the organizational skills to keep multiple projects on track at once. You’ll work closely with our sales and design team, our production team, and our on-site technical crew to deliver events that exceed client expectations.

Requirements

  • 2–4 years of experience in event production, event coordination, or a closely related field.
  • Experience creating production documents such as show books, event timelines, floor plans, or run-of-show documents.
  • Strong client-facing communication skills with a professional and proactive approach.
  • Experience coordinating with multiple vendors, venues, and subcontractors simultaneously.
  • Excellent organizational and project management skills — you can keep multiple events on track without dropping details.
  • Proficiency with event management software, CRMs, or project management tools.
  • Ability to remain calm, professional, and solution-oriented under the pressure of live events.
  • Available to work evenings and weekends as required by the event calendar.
  • Valid driver’s license with a clean driving record and reliable transportation.
  • Located within 30 miles of Schaumburg, IL.

Nice To Haves

  • 5+ years in live event production.
  • Experience in the wedding, social, or corporate event space.
  • Background in AV, lighting, or technical event production.
  • CAD or floor plan design experience.
  • Existing relationships with Chicagoland venues and vendors.
  • Experience managing event budgets and subcontractor agreements.
  • Theater, hospitality, or corporate AV background.
  • Bachelor’s degree in Event Management, Communications, Theater, or a related field.

Responsibilities

  • Manage all aspects of event production for assigned events, from initial planning through on-site execution and post-event follow-up.
  • Create and maintain detailed Show Books for assigned events, including timelines, floor plans, equipment lists, vendor information, and production notes.
  • Coordinate with venues, vendors, and subcontractors to confirm logistics, deliveries, load-in/load-out schedules, and technical requirements.
  • Prepare for and participate in weekly Production Meetings, ensuring all event details are finalized and communicated to the production team.
  • Ensure all event information is entered into our event management platform accurately and on time.
  • Serve as the primary point of contact for assigned clients throughout the event planning process.
  • Communicate proactively with clients to confirm details, manage expectations, and address any concerns.
  • Build and maintain strong relationships with clients, planners, venue contacts, and vendors.
  • Ensure a high level of client satisfaction through professionalism, responsiveness, and attention to detail.
  • Oversee on-site setup, execution, and strike of assigned events.
  • Coordinate with the Lead Tech, AV Technicians, Stagehands, and other on-site crew to ensure the event design is executed as planned.
  • Troubleshoot and resolve any issues that arise during events calmly and professionally.
  • Ensure the event space is polished, professional, and guest-ready before the scheduled start time.
  • Work closely with the Event Design team to translate client visions into executable production plans.
  • Coordinate with the Production Manager, Department Leads, and Lead Techs on equipment needs, truck scheduling, staffing, and warehouse logistics.
  • Maintain organized event folders in Google Drive with all relevant notes, financials, inspiration photos, graphics, and subcontractor information.
  • Contribute to continuous improvement of MDM’s event production processes and documentation.
