About The Position

The Event Planning Specialist will manage and produce internal and external events from conception through completion, ensuring outstanding client service in a fast-paced environment. This role requires creativity, attention to detail, and strong organizational skills, as the specialist will oversee all aspects of event planning, including budgeting, venue selection, and post-event evaluation.

Requirements

  • Bachelor's Degree
  • Minimum of 5 years of Event Management experience
  • Strong knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Experience in both in-person and hybrid events
  • Willingness to travel for site visits and on-site event management
  • Ability to work a flexible schedule including evenings and weekends.

Nice To Haves

  • Creativity and ability to think of new ways to impact events
  • Strong presentation, negotiation, and interpersonal skills
  • Experience with meeting management software such as Cvent.

Responsibilities

  • Lead planning of individual meetings and events, establishing the vision and overseeing the execution process in partnership with internal stakeholders.
  • Identify, research, and secure meeting venues, conducting site inspections and contract negotiations.
  • Develop and manage event budgets, track expenses, review vendor invoices, and conduct post-event budget reconciliation.
  • Deliver comprehensive event services including venue management, attendee communications, registration, transportation, food and beverage, décor, and AV/production coordination.
  • Establish and cultivate strong relationships with hotels, restaurants, and third-party providers.
  • Gather feedback from attendees, analyze event metrics, and prepare post-event reports to improve future events.
  • Support the department head in optimizing the event planning process and improving attendee experience.
