About The Position

The coordinator will play a key role in planning and executing events, managing guest and member communications, supporting digital content, and ensuring seamless event experiences from planning through execution. Gracie’s Farm Assist with logistical coordination of farm dinners and special events Assist with guest communication, including invitations, confirmations, and follow-ups Create and maintain seating charts and guest lists Coordinate dietary restrictions and special guest needs Work with banquet teams and vendors on event execution Coordinate rentals as needed (tables, chairs, equipment, etc.) Support day-of event logistics and on-site coordination Assist in planning and execution of beer nights, movie nights, and pop-up events The Sporting Club Coordinate and manage member events from planning to execution Work closely with banquets and events teams to reserve venues and coordinate food and beverage Create event invitations and email communications for members Manage event RSVPs and maintain accurate guest lists Respond to member inquiries related to events and attendance Ensure clear, timely communication with members before and after events

Requirements

  • 1–3 years of experience in event planning, hospitality, communications, or a related field preferred
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Comfortable working with email platforms, spreadsheets, and basic website updates
  • Social media familiarity (Instagram preferred)
  • Professional, friendly demeanor when interacting with guests and members
  • Ability to work evenings and occasional weekends for events

Responsibilities
