About The Position

Love planning events? Come play a huge role in IT's largest and most exciting conferences. On the IT Communications team, you'll support unlimITed-Vanguard's premier technology event with 8,000+ attendees, and IT's annual leadership conference, A+ Engage. The ideal candidate has experience planning large-scale events, brings creative and innovative ideas to the table, has impeccable organizational skills, and puts the attendee experience first. You'll pitch and help decide venues, speakers, themes, timing, food, and much more. You'll work with the team to develop and execute communications plans. And you'll analyze attendee feedback to inform future events. You'll work directly with external speakers and Senior Staff to prepare them for their engagements. You'll keep speaker contracts and payments moving. And with a creative and fun team, you'll contribute to every aspect of the events-from stage design to physical signage to wording on an invitation to snack choices. A critical part of the role will be working with multiple partners inside and outside Vanguard-keeping everything in motion, presenting leadership with options, and influencing decisions. More than a project manager, this role will be an integral member of the creative team that aims to disrupt the status quo, bringing truly unique and memorable experiences to attendees. In addition to these two marquee events, you'll help produce IT's quarterly town halls-organizing speakers, slides, and venues- all while elevating the crew experience. It's an exciting time to be in technology, and in this role, you'll be closely aligned with Vanguard's tech story and future.

Requirements

  • Minimum of five years related work experience, with at least two years of marketing or event-planning experience.
  • Undergraduate degree or equivalent combination of training and experience required.
  • Event planning (creativity, innovation), industry experience (tech), and organization skills (communication, stakeholder mgt., plan on track/moving, progress updates)

Responsibilities

  • Consult with senior staff leaders in one or more business areas to deliver top-quality and cost-effective meetings and events in line with business objectives and Vanguard's brand strategy.
  • Execute large-scale enterprise wide events and projects. Recommend and implement creative and innovative practices to continuously improve upon existing meeting and event planning processes.
  • Develop and maintain broad knowledge and awareness of conference and event industry forces, competition, technology, and trends to act as a trusted advisor throughout the conference and event strategy.
  • Create detailed plans consistent with marketing and business objectives, develops cost/benefit analyses, and lead continuous-improvement efforts.
  • Foster effective communication and partnership with external partners. Liaison between internal and external partners as needed.
  • Participate in assessing team capacity and prioritizing requests. Engage in strategic competitive analysis. Manage risk and ensure compliance in partnership with senior leaders and other Vanguard crew.
  • Participate in special projects and perform other duties as assigned.
