About The Position

The Event Manager at the Wisconsin Foundation and Alumni Association (WFAA) is responsible for planning and executing various constituent engagement activities. This role involves collaborating with internal teams to create high-quality, memorable experiences that align with organizational objectives. The Event Manager oversees virtual, in-person, and hybrid events, ensuring all logistics are managed effectively and client needs are met. This position requires a blend of creativity, organization, and strong communication skills to foster relationships with alumni and donors.

Requirements

  • Bachelor's degree or equivalent work experience.
  • 3+ years of events planning or related experience.
  • Ability to work flexible hours including nights, weekends, and holidays.
  • High degree of competency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and analytical skills.
  • Excellent verbal and written communication skills.
  • Ability to navigate difficult situations with tact and diplomacy.
  • Experience working with diverse backgrounds and in team environments.
  • Ability to prioritize and manage multiple tasks under pressure.

Nice To Haves

  • Certified Meeting Planner (CMP) designation.
  • 1+ years of experience in a non-profit or fundraising environment.

Responsibilities

  • Actively seek to understand and anticipate client needs to provide high-quality experiences.
  • Collaborate with internal teams to meet overall event goals.
  • Initiate, arrange, and oversee all aspects of event logistics.
  • Provide informed event consultation based on research and best practices.
  • Negotiate and manage contracts with third-party vendors.
  • Plan, oversee, and lead projects from ideation through to completion.
  • Create and monitor event-related budgets and expenses.
  • Provide on-site support as required during events.
  • Schedule and manage staff, students, and volunteers for event support.
  • Ensure high-quality, professional events and troubleshoot problems effectively.
  • Participate in unit strategic planning for short-term and long-term goals.
  • Assist in virtual event production and troubleshoot platform issues.
  • Act as Subject Matter Expert for virtual event platforms.
  • Independently manage inquiries from internal and external clients.
  • Provide exceptional customer service and respond promptly to inquiries.
  • Document event and meeting activity and outcomes.
