About The Position

The Event Logistics Coordinator at the Middlebury Institute of International Studies at Monterey is responsible for the setup, teardown, and overall logistics of campus events. This role emphasizes quality, safety, economy, and customer service, requiring interaction with faculty, staff, students, and external organizations. The position is labor-intensive and involves a variety of tasks to ensure successful event execution.

Requirements

  • A combination of education and experience demonstrating skills relevant to this position.
  • A Bachelor's degree and/or experience with facilities and working in an educational or conference set-up environment is preferred.
  • At least 2 years in a facilities or event/conference set-up role, or equivalent experience, is desired.
  • Good organizational, planning, and logistical skills are required.
  • Excellent human relations, interpersonal, and cross-cultural skills and/or experience.
  • Basic computer skills and ability to effectively use computerized information systems; knowledge of Microsoft Excel is helpful.
  • Basic knowledge of safety, particularly in moving and handling heavy equipment.

Responsibilities

  • Performs set-up, tear-down, clean-up, and other logistics for all Institute events.
  • Conducts walk-throughs with event organizers in advance of events and provides guidance on optimal set-up.
  • Maintains a schedule of all events requiring logistical support.
  • Maintains all event-related items, such as tables, chairs, linens, and area heaters, in a clean and serviceable condition.
  • Ensures Institute flags are in good condition, maintains inventory of all flags, and assures that correct flags are posted on buildings each semester that represent the homelands of current students.
  • Provides additional special logistics needs and other duties as assigned by the Vice President's Office.
