About The Position

The Event Coordinator at Brown University's Division of Biology and Medicine is responsible for overseeing and coordinating a variety of events, including internal and third-party events, conferences, seminars, and social gatherings. This role involves collaborating with various stakeholders to ensure successful event execution, providing high-quality customer service, and managing logistical needs for approximately 250 events held annually at The Warren Alpert Medical School and other locations. The position requires flexibility in working hours, including early mornings, evenings, and weekends, particularly during significant events like Commencement.

Requirements

  • Bachelor's Degree and 1-2 years of experience in Communications, Events, or Marketing, or an equivalent combination of experience and education.
  • Excellent written and verbal communication skills.
  • Experience with budget management.
  • High level of customer service skills that align with the Division's philosophy.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Google Suite, and the Internet.
  • Experience with Adobe Creative Suite is a plus.
  • Strong organizational, editing, and problem-solving skills related to event planning and execution.
  • Willingness to support a diverse and inclusive campus community.
  • Knowledge of audiovisual equipment is useful.
  • Ability to manage multiple events in a fast-paced environment with high attention to detail.

Responsibilities

  • Design and oversee the logistical needs of multiple events of varying size and complexity.
  • Serve as the main point of contact for events held on campus by Division of Biology and Medicine constituents.
  • Work with clients to assess program goals and advise on event locations.
  • Prepare financial estimates and scope documents for events.
  • Secure necessary technology, furniture, and equipment for events.
  • Determine and order required catering services for events.
  • Schedule and run meetings to plan events effectively.
  • Develop program budgets and negotiate service and client contracts.
  • Notify Brown security for after-hour large events and provide day-of event support as needed.
  • Collaborate with the Senior Events Manager on signature events such as Match Day and Commencement.
