About The Position

The Event Coordinator I at the Brazos County Exposition Complex is primarily responsible for facilitating events within the facility, including the Exhibit Hall and Ballrooms. This role involves event planning, management, and evaluation, serving as the primary contact for clients, and assisting with the setup and teardown of events. The coordinator will also handle necessary paperwork and maintain records for assigned events, ensuring smooth operations and excellent customer service.

Requirements

  • A Bachelor of Science degree in a related field or equivalent combination of education and experience.
  • Ability to operate a computer, including word processing and spreadsheet software.
  • Knowledge of methods and practices used in event planning, facilitation, and management.
  • Understanding of accounting and bookkeeping principles and practices.

Responsibilities

  • Facilitates event functions for the Exposition Complex, serving as a primary team member in event planning, management, and evaluation.
  • Assists the Marketing & Sales Managers and the Event Coordinator/Facilitator II as needed.
  • Serves as the primary contact person for all assigned event clients, executing contracts and conducting post-event evaluations.
  • Assists customers with event planning over the phone and in person, explaining policies, procedures, and contract requirements.
  • Coordinates and maintains the master schedule of all events with the Marketing & Sales Managers and Event Coordinator/Facilitator II.
  • Supervises full-time and part-time/temporary Facility Operations Assistants and Buildings and Grounds Attendants during events.
  • Maintains records of all assigned events and assists in bookkeeping functions, including maintaining set fees and preparing monthly reports.
  • Confers with Marketing & Sales Managers and Event Coordinator/Facilitator II regarding event scheduling and requirements.
  • Exercises discretion and independent judgment in performing professional responsibilities.
  • Willingness to work shift hours, including nights, weekends, and holidays.
