About The Position

This role can be based in any of our US offices with a preference of 300 S Riverside Plaza, Chicago, IL 60606, USA. Informa Connect is seeking a highly organized, detail-oriented, and proactive Event Attendee Coordinator to support our growing portfolio of nearly 20 live events in the C-store and Grocery industries. This role will be responsible for managing retailer recruitment, registration, and ensuring retailer attendance and engagement at each live event. The Coordinator will work closely with event teams, sponsors, and retailers to facilitate 1:1 meetings, dinner invitations and virtual meetings where applicable and ensure the smooth execution of event marketing campaigns.

Requirements

  • Proven experience in event coordination, retailer recruitment, or customer relationship management, ideally within the C-store, retail, or foodservice industries.
  • Experience managing email marketing campaigns, CRM databases, and event registration platforms.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with CRM systems (e.g., Salesforce, HubSpot).
  • Experience with email marketing tools (e.g., Mailchimp, Pardot, or similar platforms).
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Strong interpersonal skills with the ability to build relationships with retail operators and work collaboratively with diverse teams. Specifically events, marketing and sales
  • Ability to work independently, take initiative, and meet deadlines.
  • Problem-solving mindset with a focus on delivering exceptional customer service.
  • Proactive and detail-oriented with a passion for delivering high-quality results.

Nice To Haves

  • Experience with B2B communication and managing 1:1 meeting logistics is a plus.
  • LinkedIn Navigator and/or ZoomInfo experience would be a plus

Responsibilities

  • Retailer Recruitment & Engagement:
  • Identify and invite retailers to Informa Connect’s C-store and Grocery events.
  • Engage with retailers to ensure they are registered and committed to attending.
  • Track and manage retailer attendance, ensuring high show-up rates.
  • Coordinate 1:1 meetings between retailers and sponsors (where applicable) to maximize value at live events.
  • Manage pre- and post-event connections between retailers and sponsors as needed.
  • Invite, confirm and ensure attendance of retailers and sponsored dinners.
  • Event Registration & Logistics:
  • Oversee the registration process for retailers, ensuring all information is accurate and up-to-date.
  • Troubleshoot any issues related to retailer registration or event logistics.
  • Work closely with event teams to provide seamless communication and coordination regarding retailer participation.
  • Database Management & Data Integrity:
  • Ensure retailer databases are accurate, organized, and continuously updated.
  • Ensure proper tracking of retailer participation in live events and marketing campaigns.
  • Monitoring internal communications, social media and database subscription services to add retailers to recruit campaigns and CRM.
  • Maintain and update the retailer database with accurate titles, company names, and other relevant details.
  • Marketing Campaign Management:
  • Collaborate with the marketing team to design and manage campaigns targeting retailers for event promotion.
  • Monitor who campaigns are sent to, track engagement, and ensure proper messaging in email communications.
  • Review and confirm that all links, event details, and messaging are accurate within the campaigns.
  • Reporting & Follow-up:
  • Provide regular updates on retailer recruitment, event registration, and overall event engagement.
  • Monitor and report on attendance rates and help identify opportunities for improvement.
  • Conduct follow-ups post-event with retailers for feedback and data collection.
