About The Position

We are seeking a motivated professional with 3–5 years of ETF experience to join our growing team. The ETF Trading Logistics Associate will support the SVP of Trading in executing key initiatives across the trading organization. This role combines analytical, project management, and administrative responsibilities to enhance operational efficiency, ensure compliance, and maintain coordination between departments. The ideal candidate is detail-oriented, highly organized, and comfortable working across multiple teams and projects in a fast-paced environment.

Requirements

• 2–4 years of experience in financial services, preferably in operations, trading support, or project management.
• Strong organizational, analytical, and communication skills.
• Proficiency with Microsoft Excel, PowerPoint, and Word; familiarity with data visualization or dashboarding tools is a plus.
• Ability to manage multiple priorities, meet deadlines, and maintain accuracy under pressure.
• Professional demeanor, attention to detail, and a proactive attitude.

Responsibilities

• Serve as a point of coordination between Trading Operations and internal partners, including Technology, Legal & Compliance, and Risk.
• Track system enhancements, outages, and platform updates.
• Support documentation and monitoring of operational adherence to regulations and policies.
• Help identify and communicate operational risks and mitigation steps.
• Support process development, implementation, and ongoing maintenance of new fund onboarding workflows.
• Coordinate cross-departmental tasks and follow-up to ensure deadlines and regulatory requirements are met.
• Support staff scheduling, PTO tracking, and headcount planning across trading teams.
• Maintain up-to-date organizational charts and business continuity documentation.
• Assist in preparing, tracking, and reconciling departmental budgets and forecasts.
• Coordinate with Finance to ensure accuracy and timely updates to financial reports.
• Assist in creating, maintaining, and enhancing operational dashboards and key performance reports.
• Compile and analyze trading, workflow, and operational metrics for management review.
• Support data-driven decision-making through clear visualization and reporting.
• Prepare and format materials for presentations to the Executive Committee and other senior stakeholders.
• Assist in tracking progress and deliverables for ongoing projects and operational initiatives.
• Provide project management support for special assignments as directed by the Trading Operations & Logistics Manager.
