About the position

The Estimating Coordinator plays a key part in supporting estimating operations by managing documentation, tracking opportunities, and ensuring timely and compliant proposal submissions. This role serves as the central hub for intake and outflow of all estimating documentation, supporting the team's efforts to deliver accurate, timely, and winning bids.

Responsibilities

  • Upload and maintain accurate records of proposals, bid documents, and supporting materials
  • Ensure all submissions meet customer criteria, internal standards, and deadlines
  • Review and proofread proposals for completeness, formatting, and compliance
  • Assist in the development of proposal templates and tools for standardization
  • Monitor bid platforms, websites, and customer portals to identify new opportunities
  • Track incoming Requests for Proposal (RFPs) and related correspondence
  • Support estimating staff in tracking deadlines, pre-bid meetings, and job walks
  • Organize intake of new bid packages, assigning and tracking status within the estimating workflow
  • Coordinate outgoing proposals and follow-up documentation with internal and external stakeholders
  • Maintain bid logs, contact lists, and internal filing systems
  • Support communications between estimating, operations, and business development
  • Generate reports, spreadsheets, and summaries to support the estimating pipeline
  • Provide occasional support to proposal writing as needed
  • Other duties and tasks, as assigned.

Requirements

  • 2+ years of administrative, estimating support, or proposal coordination experience
  • Demonstrated skills in written communications
  • Ability to work in a fast paced, ambiguous environment
  • Advanced working knowledge of Microsoft Office Suite including Microsoft Project, Excel, PowerPoint, Word, or equivalent
  • Ability to identify opportunities and resolve issues in a timely manner
  • Strong analytical skills with a high degree of accuracy and attention to detail
  • Must pass mandatory drug and alcohol screening(s)
  • Valid driver's license

Nice-to-haves

  • Bachelor's degree in Business Administration, Construction Management, Civil Engineering or relevant
  • Experience with document control, RFP compliance, or bid tracking systems
