About The Position

The Estate Settlement Officer is responsible for the administration and settlement of trust and estate accounts, ensuring compliance with all applicable laws, regulations, and company policies. This role serves as a key liaison between beneficiaries, internal teams, and external partners to facilitate efficient and accurate trust settlement.

Requirements

  • Bachelor’s degree in business, finance, law, or related field preferred.
  • Experience in trust administration, estate settlement, or fiduciary services.
  • Strong knowledge of trust and estate laws, regulations, and industry best practices.
  • Excellent communication, organizational, and client service skills.
  • Ability to manage multiple priorities and work collaboratively with internal and external stakeholders.
  • May require travel to various company locations for asset inspections or meetings.
  • Coordination with legal, tax, and asset management professionals as needed.

Responsibilities

  • Administer and settle assigned trust and estate accounts, maintaining strong relationships with beneficiaries, Relationship Managers, Portfolio Managers, and external parties.
  • Ensure compliance with all relevant bank, trust, state, and federal regulations regarding trust and estate settlement.
  • Provide high-quality client service by promptly addressing inquiries and requests from Relationship Managers and beneficiaries.
  • Coordinate with internal committees regarding fiduciary appointments and document all decisions and distributions.
  • Prepare and deliver required notices and documentation for trust terminations and process related requests in accordance with company policies.
  • Oversee the receipt, valuation, and accounting of unique assets in trust accounts, collaborating with asset specialists and operations teams.
  • Research and resolve outstanding debts of decedents, ensuring proper payment from trust assets.
  • Develop and execute distribution plans in accordance with governing documents and applicable laws, including specific bequests and division of assets.
  • Collaborate with estate attorneys, executors, or personal representatives as needed.
  • Coordinate preparation and delivery of estate notices as required by law.
  • Facilitate seamless transition of funds and information to ongoing account managers.
  • Communicate regularly with current and future beneficiaries to keep them informed throughout the settlement process.
  • Provide oversight and support for trust settlement workflows, including accounts not directly assigned.
