The responsibilities of the Great Hearts Home Office ESS Case Manager are both ongoing and intermittent. The core responsibility of the Specialist is to be of service to academies by providing case management support to academies that have vacancies in ESS due to the hiring shortage or are shorthanded due to an unforeseen resignation. Intermittently and especially during long breaks in school operation (e.g. the summer), the ESS Case Manager may also assist in further developing the systems used by the Great Hearts ESS program to manage special education cases, draft legal documents, and maintain compliance with state and federal law. Examples of this include developing process documents, revising templates and document software, etc.

  • Manage in entirety an agreed-upon selection of student cases.
  • Track timelines for IEP and MET meetings.
  • Collaborate with academy staff to set up IEP/MET meetings and send out Meeting Notices.
  • Collaborate with academy staff, related service providers, and parents to collect student information to prepare IEP/MET documents.
  • Prepare IEP/MET Documents.
  • Lead IEP/MET meetings.
  • Finalize compliant IEP/MET documents, write and distribute PWNs within expected timelines.
  • Collaborate with academy staff, related service providers on progress reports.
  • Write and distribute progress reports to parents.
  • Update caseload documents, and maintain SPED programs in Student Information System (PowerSchool).
  • Coaching/consultation on implementation of IEPs.
  • Regular Academy Visits to connect with academy faculty & leadership, follow-up on/collect needed information, and coach/consult with GE teachers regarding IEPs.
  • Provide support in transition of cases back to academy staff.
  • Assist in further developing the systems used by the Great Hearts ESS program to manage special education cases, draft legal documents, and maintain compliance with state and federal law.
  • Strong command of special education evaluation process.
  • Strong command of Arizona Department of Education compliance requirements.
  • Strong command of the IEP components and their relationship to student progress/success.
  • Excellent written and verbal communication skills.
  • Ability to develop rapport and trust quickly.
  • High degree of integrity and personal responsibility.
  • Reliable transportation.
  • Bachelor's degree required.
  • Must possess or obtain valid Arizona Department of Public Safety fingerprint clearance card.
  • 2+ years' experience as Great Hearts ESS faculty or ESS leadership.
  • Highly organized.
  • Flexible work habits.
  • Dependable.
  • Master's degree and certification in special education field preferred.
