About The Position

The Equipment Project Administrator at Trane Technologies is responsible for supporting project management through routine documentation, materials management, and administrative tasks. This role involves close collaboration with the Project Manager and project staff to ensure timely project completion while maintaining customer satisfaction. The position requires a high school diploma or GED, along with up to three years of relevant experience, and a strong understanding of financial information.

Requirements

  • High School diploma or GED and up to three years of related experience or training, or equivalent combination of education and experience.
  • Working knowledge of office equipment and Microsoft Office products.
  • Familiarity with Energy Management Systems, HVAC Systems, and/or Temperature Controls preferred.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence and effectively present information in one-on-one and small group situations.

Responsibilities

  • Responsible for general administrative functions to support the Sales process.
  • Issue purchase orders and reconcile purchase order issues.
  • Process documents for service claims, sales allowances, retrofit, and labor warranty.
  • Log service start-up and service work requirements in job tracking system.
  • Communicate effectively with team members regarding project management processes.
  • Pull job credit numbers and assist with credit supplement processing.
  • Obtain estimated ship dates from Trane and vendors and update schedules accordingly.
  • Assist with customer communication regarding shipping updates.
  • Forward warranty standard documents to customers.
  • Manage receipt of installation operation and maintenance manuals (IOMs) and distribute them to customers.
  • Assist with distribution and receipt of submittals.
  • Support the equipment fulfillment process through general administrative functions.
  • Communicate with customers and their representatives, including building owners and contractors.
  • Compare estimated ship dates with contractors' project schedules.
  • Ensure compliance with internal equipment ordering processes.
  • Maintain accuracy of the forecasted cost at completion.
  • Control expenses by monitoring assigned project budgets.
  • Oversee preparation of Trane material and vendor orders, recording receipt of materials, and approving payments.
  • Enter equipment orders and issue purchase orders for vendor orders.
  • Generate work orders for equipment start-ups.
  • Manage project cash-flow and maintain customer satisfaction by addressing concerns and implementing corrective actions.
  • Establish and maintain professional relationships with customers and provide accurate status reports.
