About The Position

This role provides centralized operational support for equipment services across the organization, ensuring equipment is effectively managed throughout its full lifecycle: from activation and maintenance to repair, and obsolescence. By coordinating equipment data, documentation, vendor services, and cross‑functional activities, the position improves visibility, compliance, and throughput while reducing administrative burden on engineering teams. The role serves as a single point of accountability to drive timely equipment availability, maintain accurate enterprise records, and support Manufacturing Engineering and compliance objectives.

Requirements

  • 1–3 years of experience in an administrative, quality support, operations support, or coordinator role within a manufacturing, laboratory, or regulated environment.
  • Working proficiency in Microsoft Office: Excel (status tracking, basic formulas, logs) Outlook (scheduling, vendor communication) Word (forms, documentation, procedural support) SharePoint or similar document management systems
  • Demonstrated experience coordinating with external vendors, including scheduling services, tracking deliverables, and following up on documentation.
  • Experience maintaining accurate records across multiple systems or databases with strong attention to detail.
  • Ability to manage multiple tasks concurrently while meeting deadlines and maintaining data accuracy.
  • Effective written and verbal communication skills; ability to work with technical and non‑technical stakeholders.
  • Ability to follow established procedures and work instructions in a compliance‑driven environment

Nice To Haves

  • Associate degree or coursework in business administration, quality, manufacturing operations, or a related field.
  • Prior experience supporting equipment‑related activities, such as asset records, service coordination, calibration documentation, or maintenance tracking.
  • Exposure to quality systems or documentation (e.g., NCR support, audit records, controlled documents).
  • Experience coordinating service contracts, renewals, or vendor coverage tracking.
  • Familiarity with asset, maintenance, or quality databases (e.g., equipment tracking or calibration systems).
  • Experience working in a regulated industry (manufacturing, life sciences, medical devices, pharmaceuticals, or similar).
  • Demonstrated ability to identify administrative inefficiencies and suggest process improvements

Responsibilities

  • Executes and tracks equipment lifecycle activities from activation through maintenance support, repair coordination, and obsolescence.
  • Ensures equipment lifecycle status is accurately maintained across enterprise systems.
  • Acts as a dedicated point of accountability to ensure equipment purchased by labs is activated and available for use in a timely manner.
  • Supports equipment activation activities, including: Review and processing of Equipment Information Forms (EIFs) Equipment tagging and asset identification Creation and maintenance of equipment records in Agile, POMS, FileMaker, CalWeb, and related databases
  • Actively tracks equipment activation progress to reduce backlog and prolonged activation timelines that may span weeks or months.
  • Coordinates activation tasks across Engineering, Quality, and Labs to improve throughput and predictability.
  • Reduces reliance on highly skilled engineers for administrative activation tasks, allowing engineering resources to remain focused on high‑priority initiatives (e.g., new filling lines, capacity expansion, process improvements).
  • Supports equipment obsolescence activities, including documentation, system updates, and coordination with cross‑functional stakeholders.
  • Ensures obsolete equipment is properly removed from service and reflected accurately in asset and quality systems.
  • Provides support for equipment repair coordination, including vendor interaction and documentation tracking.
  • Supports equipment‑related Nonconformance Reports (NCRs) by assisting with: NCR initiation documentation Collection of repair reports and calibration records NCR closure support with Quality and Engineering teams
  • Provides operational support to existing Calibration and Preventive Maintenance Coordinators as needed.
  • Assists with coordination, documentation review, system updates, and vendor communication related to calibration and preventive maintenance.
  • Supports coverage during absences and periods of increased demand
  • Coordinates with vendors and internal stakeholders to establish, renew, and track equipment service contracts.
  • Management of approximately 50 annual service contracts across 40+ vendors.
  • Tracks contract coverage periods and renewal timelines to prevent service gaps and unplanned downtime.
  • Serves as a coordination point between vendors, Calibration/PM Coordinators, Purchasing, and Manufacturing Engineering.
