The role of this position is to oversee shipping and receiving, ensuring that proper and accurate transfers are written on all items shipped and received to and from the Equipment Yard as well as items moved from job to job. The Equipment Coordinator also directs and controls the scheduling and execution of truck hauling and miscellaneous services in a safe and cost effective manner in support of field operations. Reporting to the Equipment Division Manager, this position is responsible for overall Equipment Yard logistics including the tracking and safeguarding of assets. The Equipment Coordinator ensures the division's compliance with all DOT (Department of Transportation) requirements including maintaining DOT records on drivers, equipment, and trucks. In addition, the Equipment Coordinator performs other management functions related to the pricing of services, strategic direction, and organization of the division. Functional Areas of Responsibility Shipping and receiving of material and equipment Initiating and proper recording of transfer documents Reviewing and distribution of equipment division invoices Permits for hauling as needed Maintaining equipment inventory reports All DOT Filing requirements Overseeing of safe operation of equipment yard activities Compliance with company policies and procedures Recruitment and development of subordinates including training of operators Specific Duties and Responsibilities 1. Logistical planning including the scheduling and dispatching of haul trucks. 2. Initiates, prices, and codes transfers to ensure proper tracking and control over company assets and billing codes. 3. He/she manages hauling and miscellaneous service operations in support of field operations. Maintains market price data on which price recommendations are made. 4. Coordinates logistical activities with other departments and supports jobsites on equipment needs with prompt and timely service, aides in the troubleshooting of jobsite issues of a varying nature including billing questions. 5. The Equipment Coordinator is responsible for the initial review and sorting of incoming invoices to ensure the proper distribution to the correct departments for approval and coding. 6. Obtains permits for overweight, over width, over hang and hub permits for Haul Trucks, Concrete Pump Trucks and Mobil Cranes. 7. Maintains equipment inventory records and monitors equipment utilization. 8. Oversees random and post-accident drug and alcohol testing for division personnel and DOT drivers per company procedures and DOT requirements 9. Manages and maintains DOT files and required paperwork including but not limited to: Pre-placement physicals, drug test and breath alcohol test for new hire drivers DOT file paper work, issue of DOT cards and road test for new drivers Recertification physicals for current drivers Check and file Drivers Daily Logs DOT inspections and maintenance files kept current on all DOT regulated vehicles and trailers 10. Ensures compliance with all corporate and division policies and procedures as well as federal, state, and municipal laws related to equipment sales, rentals, and related services including all dealing with employment, compensation, health, safety, labor/management relations, etc. Take corrective action where necessary and notify/or involve corporate personnel where required or needed. 11. Develop subordinates to enhance their current and future contribution to the organization while maintaining a work environment that is conducive to teamwork, shared goals, employee-owner development, and advancement. Establish, maintain, and communicate clear responsibilities and expectations. 12. Perform other duties as assigned.
