About The Position

We’re seeking an Equipment Center Specialist to lead daily operations- ensuring supplies, materials, and equipment are organized, maintained, and where they need to be to support programs across the Council. In this role, you’ll work both independently and collaboratively, managing schedules, coordinating logistics, and responding to delivery requests submitted through our system. A typical day includes monitoring emails, phone messages, and incoming requests, while staying organized and adaptable as priorities shift. Success in this role requires strong time management, a customer service mindset, and the ability to build positive relationships with staff and volunteers. This role blends logistics, coordination, and customer service. You’ll take ownership of the Equipment Center while working closely with staff and volunteers across the organization.

  • The ability to stand, walk, and be active throughout the day as part of daily operations.

Nice To Haves

  • Experience in warehouse operations or driving a mid-size delivery vehicle (such as a 16-foot box truck) is a plus but not required.

Responsibilities

  • Keep inventory organized, accurate, and ready to go: Maintain appropriate inventory levels through tracking, seasonal planning, and an annual physical count. Support budget planning by identifying supply needs and purchasing priorities. Ensure program kits, first aid supplies, and equipment are stocked and available.
  • Coordinate the movement of materials across the Council: Schedule and manage deliveries to camps, properties, and event locations. Partner with internal teams to coordinate storage, distribution, and logistics needs. Communicate clearly with volunteers and staff regarding order status, pick-ups, and deliveries. Manage and respond to delivery requests submitted through the system (DoubleKnot), ensuring timely follow-through. Follow through to ensure deliveries are completed smoothly and successfully. Maintain a consistent daily workflow by monitoring emails, phone messages, and incoming requests. Demonstrate strong time management and the ability to prioritize competing needs. Provide a high level of customer service, offering helpful, responsive, and solutions-oriented experience for staff and volunteers.
  • Oversee a safe, efficient, and well-run warehouse: Maintain an organized and functional warehouse layout. Monitor equipment condition and coordinate repairs or replacements. Uphold safety and security procedures to protect people, materials, and equipment.
  • Get out from behind the desk: Occasionally operate Council vehicles to assist with deliveries as part of a shared team responsibility (not a primary function of the role). Partner with team members to coordinate and complete deliveries, ensuring materials arrive accurately and on time. Perform basic vehicle checks when driving and flag any maintenance needs.
  • Support programs and inform decisions: Collaborate with Camping & Program Services on equipment, including high adventure gear. Track usage trends and prepare quarterly reports. Manage vendor orders and maintain accurate financial records.
