About The Position

The Epic Willow Pharmacist Coordinator serves as a clinical and technical liaison between Pharmacy Services, Information Technology, and other hospital departments to ensure safe, efficient, and compliant medication-management workflows within the Epic electronic health record (EHR). This position combines extensive pharmacy practice knowledge with advanced Epic Willow expertise to lead innovation, implement sustainable change, and continually optimize how the organization delivers medication management through technology. This is a senior-level pharmacist position, intended for experienced professionals with established Epic Willow certification, proven leadership in system optimization, and the ability to translate clinical, operational, and regulatory needs into well-designed, technology-supported workflows that enhance patient safety and organizational efficiency. The Epic Willow Pharmacist Coordinator acts as the operational and informatics bridge between clinical pharmacy practice and health information technology. The coordinator oversees Epic Willow medication-management functionality across inpatient, ambulatory, and procedural areas to ensure the EHR accurately reflects formulary, inventory, and workflow standards for all medication-use processes. The role also provides direct leadership in clinical system build, medication content management, workflow design, decision support configuration, data validation, regulatory alignment, and integration with automation systems. Collaboration extends to all departments engaged in medication-use or data exchange, including Nursing, Clinical Nutrition, Laboratory, the Empower Epic Team, Information Technology, and administrative leadership. The Epic Willow Pharmacist Coordinator ensures that SRC’s medication-management technology supports safe, effective, and efficient patient care. This experienced professional unites comprehensive pharmacy expertise, advanced Epic Willow mastery, and strategic leadership to drive continuous improvement in how medications are ordered, verified, prepared, dispensed, and documented across the organization. By aligning pharmacy operations with cutting-edge informatics, the Coordinator plays a vital role in optimizing medication safety, compliance, and the overall quality of care delivered at Scottish Rite for Children.

Requirements

  • Education: Bachelor of Science in Pharmacy or Doctor of Pharmacy (PharmD) from an ACPE-accredited school of pharmacy.
  • Licensure: Current and active Texas pharmacist license in good standing, with a minimum of three (3) years of post-licensure hospital or health-system experience.
  • Epic Certification: Current Epic Willow Inpatient and/or Willow Ambulatory certification (required), with a minimum of three (3) years of certified experience actively supporting Epic Willow build, maintenance, and optimization.
  • Experience: Minimum three (3) years of hospital or health-system pharmacy practice, demonstrating advanced understanding of medication-use workflows, clinical decision support, and regulatory compliance.
  • Proven history of leading or significantly contributing to Epic Willow projects, including system build, workflow integration, testing, and user support.
  • Demonstrated expertise in medication distribution systems, sterile-compounding workflows, barcode medication administration, and automation integration.
  • Strong ability to interpret and apply accreditation and regulatory standards (Joint Commission, USP <797>/<800>, DEA, ISMP, NIOSH).
  • Exceptional communication skills, both written and verbal, with demonstrated success in interdisciplinary collaboration.

  • Post-graduate residency training (PGY-1 or PGY-2 in Pharmacy Informatics or Health-System Pharmacy Administration).
  • Board Certification (e.g., BCPS, BCSCP).
  • Experience with multi-site Epic implementations, upgrade cycles, or enterprise-level workflow integration.
  • Familiarity with Epic reporting tools and analytics (SlicerDicer, Clarity, Reporting Workbench, Tableau, Power BI).

Responsibilities

  • Build, configure, test, and validate Epic Willow Inpatient and/or Willow Ambulatory applications in alignment with SRC’s clinical workflows, policies, and accreditation standards.
  • Design and maintain medication-related master files (formulary, NDCs, IV compatibility, route restrictions, dose units, waste configurations, barcode associations).
  • Implement system updates and upgrades, ensuring medication safety alerts, decision support, and formulary logic remain functional and compliant post-change.
  • Configure and sustain interfaces with automated dispensing devices, medication carousels, sterile compounding systems, smart infusion pumps, and barcode medication administration (BCMA) platforms.
  • Lead configuration and optimization efforts that directly improve efficiency, patient safety, and medication-use accuracy.
  • Serve as the primary Epic Willow subject-matter expert for Pharmacy, performing detailed root-cause analysis and collaborating with IT analysts and vendor support to resolve system issues.
  • Conduct structured workflow and gap analyses of Epic Willow medication-management processes to identify inefficiencies and compliance risks.
  • Develop and implement recommendations for workflow redesign and system configuration to improve turnaround time, reduce medication errors, and strengthen formulary adherence.
  • Create and maintain clinical decision support (CDS) rules, best-practice advisories (BPAs/OPAs), and dosing guidance aligned with SRC protocols and evidence-based practice.
  • Partner with pharmacy leadership to monitor and report performance metrics, including medication turnaround, waste reduction, formulary compliance, and high-alert medication oversight.
  • Collaborate across interdisciplinary teams to design, implement, and refine medication workflows that support safe, efficient care delivery.
  • Serve as a liaison and translator between clinical operations and technical teams, ensuring that Epic Willow configuration accurately reflects real-world pharmacy practice.
  • Provide structured communication, change notices, and documentation to staff regarding Epic upgrades, formulary adjustments, or new functionality.
  • Develop and deliver education and training programs for pharmacists, technicians, nurses, and physicians on Epic Willow functionality.
  • Lead assigned Epic projects from planning through go-live and post-implementation evaluation, maintaining detailed project plans and testing documentation.
  • Ensure workflows and system configuration align with Joint Commission, DEA, USP <797>/<800>, NIOSH, and Texas State Board of Pharmacy regulations.
