About The Position

The EHS&S Program Administration provides core administrative and operational support for EHS&S programs across all North America locations. This role manages EHS&S data systems, recordkeeping compliance, metrics reporting, audit logistics, training administration, and controlled document management. The role also performs administrative tasks related to the physical security program, including access control portal administration. This role enables consistent program execution through high‑accuracy data management and disciplined administrative processes.

Requirements

  • Strong administrative, organizational, and time‑management skills.
  • High attention to detail with excellent recordkeeping and documentation discipline.
  • Proficiency with Microsoft 365 (Excel, SharePoint, Teams) and ability to learn specialized EHS and security software systems.
  • Ability to use AI‑enabled tools for data validation, document organization, reporting, workflow automation, and summarization.
  • Comfortable adopting new AI features in EHS, training, reporting, and security systems, and applying them to improve accuracy, efficiency, and administrative effectiveness.
  • Ability to manage multiple deadlines and maintain accuracy under shifting priorities.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality with sensitive information.
  • 2-5 years of experience in EHS, compliance administration, operations administration, data management, or similar work.
  • Experience working with databases, reporting tools, or administrative systems.
  • High proficiency in structured and detail-oriented administrative work.

  • Experience supporting OSHA recordkeeping, EHS data systems, or audit/training administration.
  • Experience using AI‑enabled productivity or data tools.
  • Experience with document control systems, EHS data management systems, and/or learning management systems (LMS).

Responsibilities

  • EHS Data Management System Administration Serve as day‑to-day administrator for EHS&S data systems, including user provisioning, basic configuration, and data integrity checks. Generate recurring EHS reports, dashboards, and KPI summaries for leadership and stakeholders. Perform data validation and maintain documentation supporting audits, training programs, and compliance activities. Utilize AI tools within EHS&S data systems to perform data validation, identify anomalies, flag missing or inconsistent entries, and recommend corrections.
  • Recordkeeping Compliance Administration Maintain OSHA 300/300A/301 logs and associated documentation for all required locations. Coordinate data for regulatory surveys and reporting requests, maintaining organized submission archives. Manage data collection workflows supporting regulated reporting (e.g., Tier II support inputs).
  • Metrics, KPI & Reporting Production Produce standardized performance and compliance metrics across programs. Maintain reporting calendars, version control, and consistent presentation formats. Support deeper analytics requests from EHS leadership. Use generative AI tools to draft metric summaries, monthly narratives, and performance commentary for review by EHS leadership.
  • Audit & CAPA Administration Coordinate audit scheduling, site coordination, travel logistics, and documentation packets. Maintain audit files, evidence repositories, and controlled records. Track CAPA items in systems, monitor due dates, and collect closure documentation. Generate AI-assisted summaries of audit findings, CAPA status reports, or follow‑up requirements for EHS leadership review.
  • Training Administration Maintain training matrices and course assignments for required EHS training. Track completions, overdue items, and produce periodic training compliance reports. Coordinate onboarding training requirements with HR and site teams.
  • Document & Procedure Control Coordinate procedure updates and manage the approval workflow. Maintain controlled document repositories, version histories, and distribution lists. Ensure consistent archiving and retention practices.
  • Other Administrative Support for EHS Programs Maintain SDS library documentation and support SDS routing. Track waste documentation and manifests; maintain retention files. Coordinate respirator program scheduling (fit testing, medical surveillance).
  • Security Administrative Support Coordinate access control system portals, including permissions, badge assignments, and user updates. Support scheduling and documentation for contracted security/vendor services.
