About The Position

The Entertainment Coordinator plays a crucial role in supporting the Entertainment Team by providing comprehensive administrative and operational assistance. This position is essential for ensuring the team's efficiency and effectiveness in managing entertainment-related projects, coordinating tasks, and facilitating communication across various departments. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organizational skills and a proactive approach to problem-solving.

Requirements

  • Minimum of 3 years of work experience in the entertainment industry or a related field.
  • Progressive administrative assistance experience (minimum of 3 years).
  • Degree or certificate in Hospitality Management, Event Planning, or a related field strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools, and event planning software.
  • High level of integrity and sensitivity in handling confidential information.
  • Strong written and verbal communication skills.
  • Exceptional organizational and multitasking skills, with the ability to prioritize competing deadlines.
  • Flexible, personable, self-starter with a detail-oriented mindset.
  • Creative problem-solving skills and the ability to thrive in a fast-paced environment.
  • Ability to interface effectively with both the creative community and all levels of staff.

Responsibilities

  • Assist team members with support for production-based shows and entertainment events.
  • Prepare the department for meetings, including agendas and processing paperwork for events.
  • Communicate and coordinate event specifics with internal and external staff, including talent involvement and duty assignments.
  • Identify and coordinate logistical elements such as props, costumes, and transportation.
  • Handle post-event reconciliation and communication regarding entertainment details with hotel contacts and vendors.
  • Arrange travel and event-related activities, including expense reimbursements.
  • Organize small entertainment events, troubleshooting and problem-solving as needed.
  • Manage invoicing, timesheets, and credit card backup for program operations.
  • Oversee special projects and additional duties as assigned.
