OPPORTUNITY: As an Entertainment Assistant, you will play a pivotal role in supporting our lawyers that specialize in entertainment law. This opportunity offers a dynamic work environment where you’ll collaborate with attorneys and clients on a variety of administrative responsibilities including managing schedules, helping to facilitate contracts, assisting with time entries and travel and other administrative projects. Requirements

  • Minimum of 10 years of administrative experience, with a demonstrated ability to keep team members aligned with processes, policies, and deadlines in a fast-paced entertainment environment.
  • A reliable, friendly, and positive can-do attitude is essential.
  • Proficient in Microsoft Office Suite and various legal software applications; must possess exceptional skills in Outlook calendaring and scheduling.
  • Creative and independent thinker, yet confident in asking questions to ensure tasks are completed efficiently and accurately.
  • This role requires extensive interaction with others, including clients; discretion, professionalism, and a courteous demeanor are imperative.
  • Outstanding interpersonal skills, with an emphasis on handling frequent client contact via telephone.
  • Excellent oral and written communication abilities.
  • Extremely detail-oriented, organized, and adept at following through on tasks.
  • Ability to perform well under pressure and consistently meet deadlines.
  • Demonstrates strong problem-solving skills, with a proven track record of identifying and resolving issues promptly.
  • Capable of maintaining strict confidentiality in all matters.
  • Comprehensive administrative skills, including time sheet management, travel arrangements, expense reporting, copying, scanning, file coordination, and the ability to organize complex itineraries.

Nice To Haves

  • Previous experience working in a legal setting, particularly within an entertainment law group, is highly preferred.
  • Bachelor’s degree is strongly preferred.

Responsibilities

  • Calendar management and scheduling of meetings, conference calls, travel arrangements and events.
  • Assist entertainment attorneys in preparing various clearance agreements for exploitation of intellectual property
  • Overseeing entry and coding of time.
  • Prepare and format documents in Word
  • Management and tracking of expense reimbursements.
  • Provides back-up support to other executive assistant when needed.
  • Ad hoc projects and duties as needed.
