About The Position

This position provides administrative and office support to the Chevron New Energies (CNE) team. Chevron is committed to advancing the organization toward being a leader in the Energy Transition. As the world looks to a lower-carbon future, Chevron New Energies will position Chevron to compete in emerging energy solutions. The Administrative Assistant must be someone who is self-motivated, learns quickly, anticipates needs, works independently, and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail, and the ability to maintain confidentiality.

Requirements

  • Proven experience in administrative support roles (5+ years minimum)
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite and enterprise systems (e.g. SAP, Workday, or similar).
  • Excellent communication and interpersonal skills.
  • Communicates in a clear, concise, and effective manner with internal and external customers.
  • Ability to work independently and handle confidential information with discretion.
  • Experience with e-billing and setting up vendors in payment system.
  • Ability to problem solve and use good judgement in making decisions.

  • 10+ years’ experience in administrative support roles

Responsibilities

  • Provides general administrative support, including coordinating meetings and appointments, planning events, ordering office supplies, maintaining files, and managing visitor credentials.
  • Provides thorough calendar management, ensuring the right people are in each meeting, managing cadence to optimize leaders’ time, and gathering pre-read materials in advance.
  • Coordinates domestic and international travel plans, including booking, scheduling in-person meetings, and managing expense reports.
  • Assists in managing team collaboration tools such as SharePoint.
  • Communicates and interacts effectively with leaders and employees across the organization.
  • Always maintains the highest degree of confidentiality.
  • Assists in preparing and proofreading presentation materials.
  • Coordinates meetings, conference calls, and catering needs.
  • Orders supplies and equipment as needed.
  • Independently completes projects by gathering, organizing, and summarizing information into clear documentation.
  • Maintains effective networks within the organization and with external stakeholders.
