About The Position

We believe enrollment is more than a transaction; it’s the beginning of a trusting partnership with families during one of the most important stages of their child’s life. We are seeking a warm, organized, and family-centered Enrollment Specialist to support the continued growth of our schools. This role is often a family’s very first interaction with Magical Beginnings, making it a meaningful opportunity to welcome, guide, and support families as they explore care for their children. The Enrollment Specialist serves as a trusted guide for prospective families, helping them feel informed, confident, and excited about joining Magical Beginnings. This role manages inquiries, schedules, and follows up on tours, answers questions about programs and availability, and supports families through the enrollment process from start to finish. Working closely with Center Directors and the Marketing team, the Enrollment Specialist maintains up-to-date enrollment information, thoughtfully manages waitlists, and ensures a smooth, positive experience for every family. This role blends sales, relationship-building, organization, and collaboration in a fast-growing, mission-driven early education organization.

Requirements

  • Organized, detail-oriented, and comfortable managing multiple priorities.
  • Calm, empathetic, and solutions-oriented—especially during busy enrollment periods.
  • Collaborative and open to feedback, with a strong sense of ownership and accountability.
  • Passionate about early childhood education and family-centered service.
  • 3–5+ years of experience in sales, customer service, enrollment, admissions, or a related role.
  • Experience using CRM systems required; Microsoft Office proficiency strongly preferred.
  • Strong written and verbal communication skills.
  • Comfortable using technology and working in a fast-paced, growth-oriented environment.

Responsibilities

  • Serve as the initial point of contact for families seeking care.
  • Respond to incoming inquiries (phone, web, email, SMS) with warmth, empathy, and timely follow-up.
  • Schedule school tours and partner with Center Directors to ensure a seamless tour experience.
  • Share information about programs, tuition, philosophy, hours, and enrollment steps in a clear, caring way.
  • Follow up after tours to answer questions and guide families through the next steps to secure enrollment.
  • Send Enrollment Agreements and Payment Policies, and ensure completed documents are returned promptly.
  • Coordinate with Center Directors on deposits, application fees, and new enrollments.
  • Manage waitlists thoughtfully and proactively reach out as openings become available.
  • Maintain accurate enrollment data, classroom availability, enrollment projections, and classroom rosters across the school.
  • Enter and update family information in CRM and enrollment systems.
  • Provide regular enrollment updates and reports to school leadership.
  • Ensure enrollment records are complete, accurate, and up to date.
  • Partner with Marketing and school teams to support enrollment campaigns, open houses, and events.
  • Ensure enrollment communications and tour materials reflect Magical Beginnings’ brand and values.
  • Identify opportunities to improve enrollment processes and enhance the family experience.
  • Occasionally support schools in ratio to deepen understanding of classroom life and our programs.
