About The Position

The Enrollment Specialist plays a vital role in connecting families to our schools, guiding them from first inquiry through enrollment. As a field-facing member of the marketing team, this role owns the full lead lifecycle- managing inquiries, optimizing CRM processes, and supporting enrollment conversion- while assisting with location-level marketing initiatives and community engagement efforts that drive visibility, trust, and growth. This position balances relationship-building, data-driven enrollment management, and local marketing support to ensure families receive a consistent, accurate, and welcoming experience across all touchpoints.

Requirements

  • Bachelor’s degree in Business Administration, Sales, Marketing, Communications, or a related field; or an equivalent combination of education and relevant experience.
  • 1–3 years of experience in a customer-facing role required. Experience in early childhood education, enrollment management, family engagement, leadership, or multi-site environments preferred.
  • Demonstrated proficiency with technology platforms including Microsoft Office, CRM systems (1–3 years required), reporting dashboards, and digital communication tools.
  • Strong interpersonal and communication skills with the ability to build trust-based relationships with families, school leaders, and cross-functional teams.
  • Proven ability to manage multiple priorities, nurture leads through the enrollment pipeline and maintain consistent follow-through.
  • Strategic and detail-oriented mindset with the ability to analyze trends, identify patterns, and improve processes.
  • Ability to travel between assigned schools and maintain a flexible schedule to support tours, family meetings, and school events.
  • Valid driver’s license and reliable transportation required; must be able to travel between locations within the designated region as needed.
  • Demonstrates a proactive, solution-oriented approach with a positive, professional attitude.
  • Flexible and adaptable mindset to meet the evolving needs of families and schools.
  • Regular travel to school sites is required to support tours, enrollment events, and marketing initiatives.

Nice To Haves

  • Experience in early childhood education, enrollment management, family engagement, leadership, or multi-site environments preferred.
  • Experience with design and content tools such as Canva, Figma, Wix, or Adobe Creative Suite preferred.
  • Familiarity with early childhood education programs, school operations, or enrollment processes preferred but not required.

Responsibilities

  • Manage the full lead lifecycle and ensure timely, professional responses to prospective families.
  • Maintain and optimize CRM processes to support enrollment tracking and reporting.
  • Support enrollment conversion through tours, follow-up, and family guidance.
  • Build and maintain strong relationships with school staff and families.
  • Collaborate with school leaders and internal teams to align initiatives and share insights.
  • Provide data-driven feedback to improve enrollment outcomes and family experience.
  • Assist with local marketing initiatives and community engagement to support visibility and enrollment growth.
  • Own the full lead lifecycle, from initial inquiry through enrollment, ensuring timely, professional, and consistent communication with prospective families.
  • Schedule and, as needed, conduct high-quality tours in partnership with school directors to accurately reflect each location’s mission, values, and learning environment.
  • Support and train school teams on tour best practices to ensure consistent and elevated family experience.
  • Guide families through the enrollment process with transparency, accuracy, and care.
  • Maintain accurate CRM records and documentation to support reporting, conversion tracking, and enrollment forecasting.
  • Analyze lead activity, follow-up cadence, and conversion data to meet enrollment goals and identify opportunities for continuous improvement.
  • Monitor local marketing plan execution and track performance trends, providing school-level insights and feedback to the Corporate Marketing team to inform strategy and optimization.
  • Support execution of location-level marketing initiatives, including management of local Facebook pages, community event promotion, and school-specific communications.
  • Create and distribute branded print and digital materials using approved corporate templates and brand guidelines.
  • Ensure all family-facing materials and social content accurately reflect current programs, capacity, and brand standards.
  • Serve as a central point of communication for prospective families and school leaders regarding tours, enrollment status, openings, and follow-up actions.
  • Provide consistent and ongoing communication with families before enrollment begins and throughout their entire experience with Yellow Brick Road.
  • Collaborate with school leaders to support local marketing initiatives that strengthen community relationships and brand visibility, including event marketing and community partnership engagement.
  • Partner closely with regional and school directors to stay aligned on capacity, programming, and enrollment priorities.
  • Coordinate handoff with finance, HR, and recruitment teams once enrollment is confirmed.
  • Partner with Family Accounts to maintain accurate, up to date tuition accounts and promptly address any questions or changes.
  • Participate in regular reporting and check-ins with leadership to share insights on lead flow, challenges, and trends.
  • Act as a brand ambassador for Yellow Brick Road, Seeds to Seedlings, and Sonnet Montessori.
  • Uphold honesty, professionalism, and integrity in all interactions.
  • Communicate accurately-never overpromising or misrepresenting programs or availability.
  • Support school leadership by building trust and collaboration.
