Read more: careers.bms.com/working-with-us . Summary Associate role supporting the Global Policy Research, Analytics & Economics team within Global Policy & Government Affairs. The role performs highly diverse and complex administrative functions, including proactive calendar management, meeting scheduling, domestic and/or international travel arrangements, expense reporting, and preparation and editing of PowerPoint presentations. The Associate supports internal & external engagement activities and interfaces with a broad range of internal and external stakeholders.

Requirements

  • Minimum of 5 years of administrative experience, primarily supporting an executive.
  • Bachelor’s degree preferred.
  • Experience working in a team-based environment preferred.
  • Strong interpersonal skills with the ability to interact effectively with all levels of management internally and externally.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to handle sensitive and confidential information with discretion and good judgment.
  • Ability to take initiative and adapt to frequently changing priorities.
  • Strong independent problem-solving skills with attention to detail and high-quality output.
  • Proactive, solution-oriented collaborator with sound decision-making capability.
  • In-depth knowledge of company systems, policies, and procedures.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Outlook, Concur, purchasing systems, SharePoint, and Workday.

Responsibilities

  • Proactively manage calendars and schedule recurring and ad hoc meetings for leaders, direct reports, and internal and external stakeholders.
  • Coordinate meeting logistics with matrix partners and external stakeholders, including global organizations, trade associations, think tanks, policy organizations, third-party coalitions etc.
  • Arrange domestic and/or international travel and demonstrate flexibility in work schedule to support leaders during travel.
  • Prepare and process expense reports accurately and in a timely manner.
  • Create, edit, and format PowerPoint presentations and other meeting materials.
  • Support team budgeting processes, including annual budget development, detailed budget build-out, quarterly tracking, and finance reporting inputs.
  • Process SAP/Ariba entries, purchase orders, payments (including annual membership dues), and vendor and consultant contracting in line with company SOPs.
  • Collect Weekly Highlights from leadership team members and compile and format for manager review.
  • Interface professionally with senior executives, matrix team members, administrative colleagues, and in-market partners as applicable.
  • Represent the team with external organizations regarding meeting, travel, and budget-related coordination.
  • Handle confidential information with discretion and demonstrate sound judgment and diplomacy in sensitive situations.
  • Anticipate needs, identify potential issues, adapt to changing priorities, and develop contingency plans as needed.
