About The Position

Serves as the dedicated front-facing point of contact for all new hires and visitors entering the Memphis Metro Employment Services office. Manages front desk operations, including greeting and directing candidates and employees, answering incoming phone calls, and completing Part 2 of the I-9 verification process for all new hires in accordance with federal requirements. Supports the Employment Services team by ensuring a professional, organized, and compliant new hire experience. Performs employment functions 8 hours/day, 5 days/week. Some overtime may be required. Performs other duties as assigned.

Requirements

  • Minimum: Bachelor’s degree in HR, Healthcare Administration, or related field — OR — equivalent experience.
  • Minimum: Minimum one (1) year of experience in a customer-facing, administrative, or human resources environment.
  • Core Competencies: Strong interpersonal and communication skills; ability to manage a high-traffic environment with professionalism; attention to detail and commitment to accuracy; ability to multi-task and remain adaptable in a fast-paced setting; customer service orientation.

Nice To Haves

  • Preferred: Bachelor’s degree.
  • Preferred: Microsoft Office including Excel and PowerPoint. Application Tracking Software experience is strongly preferred. Prior experience with I-9 verification or onboarding documentation is a plus.

Responsibilities

  • Front Desk Operations: Serve as the primary in-person point of contact for all new hires, candidates, and visitors entering the Memphis Metro Employment Services office, ensuring a professional, welcoming, and organized first experience.
  • I-9 Verification and Compliance: Complete Part 2 of the I-9 verification process for all new hires in the Memphis metro region in accordance with federal documentation requirements, ensuring 100% accuracy and timely completion within mandated deadlines.
  • Effective Communication: Manage incoming phone volume for the Employment Services office, directing inquiries appropriately and maintaining clear, professional communication with internal and external customers to ensure an excellent candidate and employee experience.
  • New Hire Support: Assist new hires upon arrival by directing them through the onboarding check-in process, distributing necessary orientation materials, and ensuring all individuals are properly received and guided throughout their time in the office.
  • Recruitment Support: Provide support to Employment Specialists and Employment Services team by assisting with various parts of the application and onboarding process, ensuring a smooth and efficient experience for candidates and the recruitment team.
  • Office and Administrative Coordination: Maintain the organization and professional appearance of the front desk and lobby area, manage daily walk-in traffic, and coordinate with the Employment Services team to ensure seamless operational flow throughout the office.
  • Goal Completion: Complete assigned goals and tasks efficiently and accurately, contributing to the overall compliance, quality, and operational effectiveness of the Memphis Metro Employment Services team.
