The ECC Coordinator serves as a primary liaison between emergency clinicians, Client Service Representatives (CSRs), technicians, and clients to ensure clear communication, efficient workflow, and a compassionate client experience during emergency and critical care visits. This role focuses on client communication, case coordination, workflow support, and administrative oversight within the ECC department, particularly during high-acuity, high-volume periods. The ECC Coordinator helps reduce bottlenecks, supports clinical teams, and ensures clients are informed, supported, and guided through emergency processes. Ideal candidates enjoy fast-paced, collaborative environments and excel at communication, multitasking, and problem-solving while supporting advanced veterinary medicine.

Requirements

  • RVT or experienced Veterinary Assistant required
  • Minimum 2 years veterinary clinical experience (emergency or specialty preferred)
  • Minimum 2 years client service or administrative experience in a high-volume setting
  • Skilled communicator with strong medical terminology knowledge
  • Excellent organizational skills and attention to detail in a dynamic environment
  • Positive, flexible, team-oriented, and solutions-focused attitude
  • Fluent English skills (speaking & reading) required; multilingual skills a plus

Nice To Haves

  • Proficiency in EzyVet, SmartFlow, Microsoft 365, Teams, and Outlook (preferred)

Responsibilities

  • Serve as the primary point of contact for ECC clients during admission, treatment, and discharge
  • Clearly explain emergency workflows, triage, wait times, hospitalization, and next steps
  • Provide compassionate communication during high-stress situations, including critical updates and end-of-life care
  • Assist with estimates, consent forms, client updates, discharge instructions, and 24-hour post-discharge follow-ups
  • Escalate client concerns appropriately to clinicians or leadership
  • Act as a communication liaison between ECC doctors, technicians, CSRs, leadership, and referral hospitals
  • Support efficient ECC patient flow by monitoring admissions, transfers, discharges, caseloads, and ICU capacity
  • Coordinate diagnostics, procedures, transfers, rechecks, and follow-up appointments as directed
  • Ensure accurate documentation, record requests, referral communication, and complete charge capture prior to checkout
  • Support the ECC team during high-volume periods, maintain a calm professional presence, and participate in training and process improvement initiatives
