Essential Job Responsibilities of Elementary School Secretary: Works cooperatively with colleagues, supervisors, and administrators. Demonstrates ethical behavior. Follows district policies and administrative rules and regulations. Follows District Code of Conduct policies. Maintains behavior appropriate to performing and accomplishing assigned duties. Maintains a suitable personal appearance as it relates to position. Knows what to do successfully to complete assigned work. Performs tasks to include, but not limited to: typing, filing, receiving, placing and routing phone calls, photo copying and correspondence. Enrolls or withdraws students as per site and district policy. Maintains student attendance records as per district policy. Maintains student records, updates student information, post grades, etc. Completes and forwards all school reports. Distributes and collects all required district, state, federal forms and routes as necessary. Receives and sends student cumulative folders as necessary. Reports and assists with fire drills. Collects fire drill reports from staff for Principal report. Maintains accurate and timely records. Assists with all school events to include Open House, Parent Nights, Carnival, fundraiser sales, etc. Runs errands related to school efficiency and functions. Provides coverage in classrooms on an emergency basis. Tends to injuries/illnesses in the absence of school nurse until the nurse can take over. Student Enrollment: Process student registrations and withdrawals. Verify enrollment documentation, including proof of residency and health records. Maintain an organized and efficient enrollment system. Record Maintenance: Maintain accurate and up-to-date student records, including academic, health, and disciplinary information. Ensure compliance with district policies and legal requirements regarding student records. Manage and archive student files according to established guidelines. Data Management: Utilize student information systems to input and update student data. Generate reports related to enrollment, attendance, and student demographics as needed. Assist in the preparation of state and federal reporting. Communication: Serve as the primary point of contact for parents and guardians regarding enrollment questions and procedures. Collaborate with teachers, counselors, and administrative staff to support student needs. Provide information to students and families about school policies and procedures. Compliance and Auditing: Assist with audits related to enrollment and student records. Ensure adherence to local, state, and federal guidelines regarding student privacy and data protection. Administrative Support: Assist with scheduling and coordinating school events related to registration and enrollment. Provide support for special programs, including transfer requests and program changes. Performs other job duties as assigned.
