About The Position

The EHS Administrative Assistant supports the Environmental, Health and Safety department with administrative duties. The successful candidate must be able to function effectively in a fast-paced, high-energy environment and have the willingness to learn and understand the EHS functions at the mill. This position must be flexible, with the ability to adapt to change and priorities, based on mill needs.

Requirements

  • 3-5 years of administrative or executive assistant experience, customer service orientation preferred
  • Excellent interpersonal and communication skills (written and verbal)
  • Ability to handle multiple tasks, projects, competing priorities and tight deadlines simultaneously, while maintaining quality and exhibiting excellent follow through
  • Ability to successfully perform the role with minimal direct supervision
  • Strong adaptability, flexibility and resourcefulness
  • Ability to maintain a high level of professionalism and confidentiality
  • Expert user of Microsoft Office including Word, Excel and PowerPoint
  • College degree preferred but will consider equivalent work experience

Nice To Haves

  • EMT/First aid experience a plus, but not required

Responsibilities

  • Build and publish EHS metrics scorecards (weekly, monthly, quarterly, and annually) with provided data
  • Maintain the EHS SharePoint site and Microsoft Teams and other data management systems
  • Manage calendar, schedule, and communication of the EHS program events
  • Provide proper tracking of EHS purchase orders into SAP from origination to pay
  • Provide support to EHS initiatives- Personal Protective Equipment (PPE) ordering, uploading required training to learning management system, annual outage events, etc.
  • Provide support to medical team- maintaining new hire packets, administrative coverage to medical team
  • Schedule, track and support annual employee medical testing for over 500 employees
  • Prepare and execute regulatory submittals, maintain official document recordkeeping and filing, requiring strong attention to detail and organization
  • Provide administrative or technical support to EHS team members by performing data entry, assembling reports, cross training for coverage capabilities, etc.
  • Schedule and plan for meetings, training and conferences
  • Schedule, track and support Emergency Response Team training for over 100 members
  • Attend and record meeting notes for EHS team
