About The Position

Under General Supervision, this employee will perform a variety of specialized administrative and office support functions.

Requirements

  • Must have advanced computer skills including, but not limited to Microsoft Office & Excel
  • Proficient in 10-key and ability to type 30 WPM
  • Excellent organizational skills.
  • Detail oriented and able to prioritize tasks.
  • Knowledge of office administration practices and procedures.
  • Must have excellent oral & written communication skills utilizing professional & proper grammar
  • Knowledge of current technologies with ability to comfortably research & understand terminology.
  • Ability to work individually or in a team environment
  • Knowledge of record keeping, filing, and purchasing practices and procedures.
  • Ability to safely and legally operate a motor vehicle based on state and local requirements.

Responsibilities

  • Data entry
  • Maintains stock of safety supplies, equipment, and materials.
  • Creates Purchase Orders
  • Provides safety equipment to employees
  • Assists with on-going projects in the Safety Department
  • Conducts research as required
  • Creates, organizes, and maintains safety files and reports
  • Assists in annual maintenance of department policies, procedures, forms, & work instructions
  • Maintains various departmental spreadsheets
  • Performs administrative support functions for other department staff.
  • Schedules meetings, takes notes, prepares any meeting materials needed
  • Compiles and distributes reports, documents, and other materials
  • Processes authorizations & reimbursements for Safety boots and prescription glasses.
  • Assists with scheduling of training and inspections
  • Assists with maintaining compliance in various Safety sites
  • Organizes and set priorities while taking the initiative to exercise sound independent judgement within areas of responsibility.
  • Prepares clear, accurate, and concise records and reports.
  • Uses tact and discretion in dealing with sensitive issues.
  • Establishes and maintains effective working relationships with all employees.
