About The Position

The EHR Systems and Reporting Administrator reports to the Director of Information Technology and serves as the agency’s primary internal administrator for the electronic health record (EHR) system and related reporting processes. This position is responsible for supporting the effective use, configuration, maintenance, and data integrity of the agency’s hosted EHR platform with a focus on forms, workflow support, report development, issue resolution, and data quality. This role works closely with program leadership, Quality Improvement, Grants, Finance, and other departments to translate operational, compliance, and reporting needs into practical system solutions and reliable reports. The position also serves as a key liaison with the EHR vendor to help ensure the agency can obtain timely and accurate information for management decision-making, regulatory requirements, and grant reporting. This position focuses on business application administration and reporting within the EHR platform and does not primarily involve server, network, or direct database administration.

Requirements

  • Minimum of three years of experience in business application administration, EHR support, healthcare or human services reporting, data analysis, or systems support
  • Ability to work independently and as part of a team.
  • Bachelor’s degree in information systems, health information management, business analysis, data analytics, public administration, or a related field; or an equivalent combination of education and relevant experience.
  • Analytical Thinking and Problem Solving – Demonstrates the ability to investigate data issues, determine likely root causes, and recommend practical corrective actions.
  • Technology – Comfortable administering a hosted line-of-business application and developing reports using EHR tools, Excel, and Microsoft 365. Strong Excel skills including sorting, filtering, formulas, lookups, pivot tables, and data validation.
  • Communication – Communicates effectively with both technical and non-technical stakeholders and can translate user requests into workable reports, forms, procedures, and system improvements.
  • Organization and Time Management – Demonstrates strong organizational skills and the ability to manage multiple requests, deadlines, and priorities while maintaining accuracy and attention to detail.
  • Responsive – Responds to staff questions, reporting requests, and system issues in a timely and professional manner.
  • Department/Agency Representation – Supports agency operations by appropriately representing the agency and demonstrating commitment to the agency’s philosophy, mission, goals, policies, and procedures.

Responsibilities

  • EHR Administration and Support – Serves as the primary internal administrator and subject matter expert for the agency’s hosted EHR platform. Maintains and supports forms, templates, data fields, user-facing workflows, and related system configurations within the scope permitted by the vendor platform. Troubleshoots and resolves EHR-related issues including record discrepancies, duplicate entries, documentation corrections, workflow problems, and other user-reported issues. Coordinates with the EHR vendor to investigate issues, implement approved changes, and escalate problems requiring vendor action. Supports testing and validation of system updates, configuration changes, and new functionality.
  • Reporting and Data Support – Develops, maintains, and distributes recurring and ad hoc reports for leadership, programs, Quality Improvement, Finance, and Grants using EHR reporting tools and other agency-approved tools such as Excel and Microsoft 365. Translates business questions and reporting requests into practical reporting solutions. Supports the preparation of data for grant reporting, audits, accrediting bodies, and other external requirements while reviewing report outputs for completeness and accuracy.
  • Data Quality and Stewardship – Identifies recurring data quality issues and collaborates with stakeholders to improve data entry practices, form design, workflow clarity, and reporting consistency. Helps define and document standard data definitions, reporting logic, and business rules to improve transparency and trust in agency data. Performs or coordinates approved data correction and remediation activities within the EHR and monitors sources of reporting inaccuracies.
  • Business Process and Cross-Functional Collaboration – Works with program leaders, Quality Improvement, Grants, and other stakeholders to understand operational requirements and translate them into system and reporting needs. Recommends improvements to forms, workflows, and reporting processes that increase usability, efficiency, and data visibility. Participates in cross-functional discussions regarding documentation standards, compliance requirements, operational reporting, and data governance.
  • Training and Documentation – Develops and maintains documentation for reports, forms, workflows, and procedures. Provides training and guidance to staff on the proper use of EHR forms, workflows, and standard reports while supporting user understanding of how documentation practices affect reporting, compliance, and operational visibility. Helps staff understand how documentation practices affect downstream reporting, compliance, and operational visibility.
  • Governance, Security, and Compliance Support – Supports appropriate data handling, confidentiality, access practices, and reporting processes consistent with agency policies and applicable requirements. Partners with IT leadership and relevant stakeholders on access management, change management, and business continuity considerations related to EHR and reporting functions. Balances competing priorities across user support, reporting deadlines, and change requests in alignment with agency goals.
  • Training and Support – Supports agency operations by completing required training and providing assistance to staff on EHR usage and reporting processes.
  • Misc. – Other duties as assigned by management.
