About The Position

Under the direction of the assigned supervisor, this position provides comprehensive administrative support to ensure the efficient and effective operation of the Special Education Department. The role handles routine Special Education inquiries and delivers responsive, knowledgeable assistance to staff, parents, and external partners. Responsibilities include receiving, processing, and maintaining department files and records in accordance with district standards and compliance requirements. Requirements

  • High School Diploma or equivalent
  • Three (3) years of successful clerical experience
  • Knowledge of school district organization, operations, and administrative policies
  • Ability to read and comprehend instructions, correspondence, and memos
  • Ability to follow verbal and written instructions
  • Excellent public relations, organization, communication, and interpersonal skills
  • Ability to use software to develop spreadsheets, perform data analysis, and do word processing
  • Ability to multitask numerous complex administrative activities

Responsibilities

  • Provide administrative and secretarial support to the assigned supervisors.
  • Schedule meetings, trainings, and conference rooms; prepare agendas and materials as requested.
  • Attend meetings as assigned for the purpose of collecting information necessary for departmental operations.
  • Maintain accurate physical and electronic Special Education records, documents, and files to ensure compliance with state and federal requirements.
  • Respond to routine Special Education inquiries and route questions to appropriate staff members.
  • Maintain calendars for assigned special education leaders, including appointments, deadlines, and compliance-related timelines.
  • Monitor and maintain inventory of departmental supplies, testing materials, assistive technology equipment, and instructional resources; process orders as needed.
  • Perform routine bookkeeping tasks and maintain Special Education budget, grant, and expenditure records.
  • Prepare, process, and track purchase orders, contracts, and payment authorizations in accordance with district financial procedures.
  • Assist with the development, monitoring, and maintenance of annual departmental budgets and grant budgets aligned to Special Education programs and services.
  • Balance and reconcile budgets for Special Education.
  • Perform cost accounting, financial reconciliation, and documentation
  • Obtain, secure, and process contracts related to Special Education to service providers and contracted support staff.
  • Assist with onboarding new vendors, including completion of district-required forms and setup procedures.
  • Maintain contract files, service agreements, and required vendor documentation.
  • Serve as a liaison between the Special Education Department, vendors, and district finance personnel to ensure timely payment and contract compliance.
  • Prepare correspondence, memo forms, and reports according to district standards and timelines.
  • Receive, prioritize, and distribute incoming mail, documents, and requests; prepare outgoing mail and communication.
  • Compile, maintain, and secure all required physical and electronic records in accordance with federal IDEA guidelines and district retention policies.
  • Maintain confidentiality of student information in strict accordance with FERPA and IDEA regulations.
  • Participate in professional development opportunities to enhance job skills and stay current with district procedures and compliance expectations.
  • Ensure that practices align with district policies, operating procedures, and legal requirements, including federal and state Special Education regulations.
  • Follow the Professional Code of Ethics and Standard Practices for Texas Educators as applicable to all district employees.
  • Follow district safety protocols and emergency procedures.
  • Perform other duties as assigned to support the efficient and compliant operation of the Special Education Department.
