About The Position

The Administrative Assistant/Receptionist at The Black Car Fund will support the Director of Education by performing various administrative and clerical tasks at the Driver Education Center in Long Island City, NY. Requirements

  • A minimum of 2 years prior experience as an Administrative Assistant, Secretary, Front Desk, or Executive Assistant
  • Proven experience in the field
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers, copiers, and fax machines
  • Proficiency in MS Word, MS Excel, MS PowerPoint, and Outlook
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

Nice To Haves

  • Ability to speak and translate Spanish
  • Previous experience as a secretary or Executive Administrative Assistant

Responsibilities

  • Assist the Director of Education with daily office tasks
  • Manage the Education Center's general administrative activities
  • Make travel and meeting arrangements
  • Prepare reports and maintain appropriate filing systems
  • Answer and direct phone calls
  • Check in class attendees and direct them to their classroom
  • Plan meetings and take detailed notes
  • Write and distribute email correspondence, memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports
  • Maintain a filing system
  • Update and maintain office/Center's policies and procedures as directed
  • Maintain supplies and submit requests to the proper personnel
  • Maintain contact lists
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients/company partners
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Manage training course and benefit material inventory
  • Ensure that facility matters are stocked and clean, and report issues promptly
  • Escalate issues such as IT and facility needs to the proper personnel
