POSITION PURPOSE Under the direction and supervision of the Nurse Manager and/or designee provides clerical support for patients, visitors and colleagues on assigned nursing units. Facilitates patient registrations, admissions, discharges and transfers. Supports the patient experience and the culture of safety by providing equipment maintenance, stocking and ordering unit supplies, maintaining unit appearance and overall environment of care. Provides reception services to patients, families, visitors and other unit guests. Coordinates non-clinical support functions for assigned nursing unit and assists in maintaining an orderly unit operation. Serves as liaison between nursing and ancillary departments for information or issue resolution. Communicates with Nurse Manager on outstanding interdepartmental issues and participates in a plan to resolve. Demonstrates unit/area designated competencies. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES 1. Answers the phones and triages communications to appropriate team members and patients using relevant technology. , 2. Manages clerical component of patient information throughout the episode of care a. Completes all necessary functions associated with patient admission, discharge and transfer. b. Assembles and maintains patient medical records from admission through discharge. c. Rounds regularly on all printers for maintenance. Distributes or files any printed information. d. Performs any necessary scanning, faxing, copying and filing. e. Prepares patient information for transfer to another health care facility. 3. Completes unit stocking which may include nurse servers, unit alcoves and linen closet. Checks and removes expired items. 4. Assists in maintaining the unit environment by cleaning and monitoring areas such as equipment storage areas , charting alcoves, workstations, visiting areas, and conference rooms. Submits work orders for repairs as needed. 5. Completes staffing and scheduling administrative functions as delegated by unit leadership. 6. Coordinates regular maintenance and repair of unit equipment such as: a. Patient care equipment (thermometers, scales, beds, tables) b. General use equipment such as ice machine, microwave, etc. c. Computers, printers and other technology 7. Orders and maintains routine forms, and patient care supplies. 8. Arranges for transport of documents, specimens or equipment to appropriate destination. 9. Locates equipment, medical records or other items required to provide patient care. 10. Assists with patient care: Answers patient call lights upon request and relays request to patient care staff member. Functions as a companion for non-restrained patients when needed based on patient care requirements. 11. Completes additional duties as assigned 12. Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution. 13. Maintains the confidentiality of information acquired pertaining to patient, physicians, colleagues, and visitors to St. Joseph Mercy Health. Discusses patient and hospital information only among appropriate personnel in appropriately private places. 14. Behaves in accordance with the Code of Conduct, Service Excellence Standards, policies and procedures, and the Mission, Vision and Values of SJMH. 15. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management. OTHER FUNCTIONS AND RESPONSIBILITIES 16. a. . 17. Leads in the orientation of health care team members to clerical operations of the unit as delegated by the manager/EC. 12Oversees ordering of all required office and chart supplies to assure appropriate par levels for the unit. 13. 14. Assists in planning and implementing unit business functions and procedures such as supply storage and flow, equipment storage, desk set up and operation, environmental service, etc.). 1. 15. Initiates, processes, and maintains departmental records, including those related to payroll, attendance, billing, and work and purchase orders. Generates required unit documents such as invoices, purchase requisitions, etc. Updates unit records and files using manual and computerized filing systems, including spreadsheet data entry. 2. 16. Operates and maintains departmental computer databases. This includes obtaining, clarifying, and compiling, interpreting and entering information, retrieving data, and preparing and distributing reports. 3. 17. Responds to inquiries from unit colleagues related to department issues on behalf of the manager. 18. Conducts nursing unit inspections for compliance with regulatory agency requirements. Follows up with items needing attention as delegated and keeps manager updated. 4. 19. Investigates and gathers information for incident reports involving patient or unit property damage or loss. 5. 20. Completes other additional duties as assigned 6. 21.
