About The Position

The Ecclesiastical Notary (“Notary”) collaborates as a member of the Tribunal team in the carrying out of administrative duties associated with various canonical proceedings, specifically marriage annulment cases, as well as those administrative duties related to the overall day-to-day operation of the Tribunal office. The Notary will serve as the primary point of contact at the Tribunal office, and will interact with an array of stakeholders to the canonical process including Petitioners and Respondents, Advocates, and Judges, as well as other diocesan priests and personnel

Requirements

  • High school diploma or equivalent with a minimum of three (3) years of administrative experience in a service environment required
  • Proficiency with personal computer and all basic office equipment, including Microsoft Office Suite
  • Practicing Catholic with deep knowledge of the Catholic faith and organizational hierarchy
  • Mastery of Microsoft Office Suite, specifically Microsoft Word, is required.
  • Strong typing skills a must.
  • Strong interpersonal, written, and verbal communication skills including the ability to produce clear and concise written documents with minimal direction.
  • Ability to proofread and edit various written documents is a must.
  • High level of accuracy and attention to detail, use of discretion and confidentiality, orientation toward service and teamwork, with high degree of organizational skill.
  • Ability to handle multiple tasks and priorities with deadlines.
  • Successful candidate will be a practicing Catholic

Nice To Haves

  • Fluent in Spanish strongly preferred.
  • bilingual in English and Spanish.

Responsibilities

  • Prepares acts and instruments relating to decrees, dispositions, obligations, and other tasks as directed.
  • Renders signature and seal in order to establish the authenticity of all judicial acts.
  • Processes Petitions for Declaration of Nullity in English and Spanish.
  • Drafts general correspondence on behalf of the Judicial Vicar and other judges.
  • Receives and screens incoming telephone calls to the Tribunal, maintaining detailed records and facilitating resolution or appropriate referral.
  • Maintains filing systems and Tribunal archives.
  • Maintains a basic working knowledge of Canon Law pertaining to Petitions for Declaration of Nullity, Transfer of Rite.
  • Processes case payments and submit check/cash deposits to the Diocesan Office of Finance.
  • Maintains Tribunal database as well as accurate case logs for all formal cases.
  • Updates and distributes all relevant paperwork and forms to advocates and petitioners.
  • Regularly reviews formal case status for communication to advocates.
  • Sends out notifications to parishes of Baptism and Marriage regarding Tribunal decisions.
