About The Position

Under the supervision of the Program Administrator of Children Services is responsible for efficiently monitoring and managing the progress of consumers who are in the intake process, referred to as Early Start Referral Status “0” cases. Ensures that vendors and service coordinators comply with specific timelines and updates cases within the 45-day deadline. Has no supervisory responsibility. ESSENTIAL DUTIES AND RESPONSIBILITIES: Open Status “0” tracking log in share point when cases are received from the Early Start Intake Coordinators, and then open a tracking log. Notify Early Start Intake Assessment vendor (056 vendor) about case status and Purchase of Service (POS) completion. Enter the Purchase of Service (POS) request in Atlas for the administration (ADMIN) and full assessment (ASMNT) fee to ensure timely payment to intake vendors. Remind vendor at appointed times (day 20, day 25) to meet 30-day timeline. Log and track all 056 vendor communication provided by the intake vendor if case is to be inactivated or closed. Document exceptional family circumstances in Title 19, which includes federally defined circumstances where the parent may delay the 45 day timeline. Communicate and remind the Service Coordinator regarding scheduling the Individual Family Service Plan (IFSP) and other items as needed. Ensure that all eligible consumers with an IFSP have a documented ESR. Upload the vendor reports into Atlas system. Send status change ResQ (internal ticketing request system) to Case Control when a consumer changes from status 0 (Intake) to 1 (Early Start) and potentially to inactive or closed, not eligible. Enter initial intake timeline information and developmental levels into Early Start Reports (ESR). Provide ESR tracking reports as requested. Monitor case in Atlas until case is changed out of status “0” to ensure the consumer is put in status “1” or closed/inactivated to meet the 45 day timeline to be in compliance with DDS requirements. Use office equipment appropriately and keep it in good repair. Keep work area neat and orderly. Observe all safety rules. Work cooperatively and effectively with others. Perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team. Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments. Maintain good attendance and punctuality. Good verbal and written communication skills. Keep manager informed of pending work, work in progress and problems encountered. Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements. Attend training sessions as required. Comply with and ensure program compliance with agency’s Personnel Policies and Procedures. Perform different or additional work as assigned.

Requirements

  • High school diploma
  • Five (5) years of related work experience during which time increasingly responsible duties were assumed.
  • In lieu of work experience, a Bachelor’s degree in social work or a related field from an accredited school.
  • May be required to be bilingual.
  • Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.
  • Ability to follow verbal and written directions.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work cooperatively and effectively with others.

Responsibilities
