About The Position

The Drug and Alcohol Assistant provide administrative and operational support to the RTA’s Drug and Alcohol Program. This position assists the Drug and Alcohol Program Administrator with document management, log verification and maintenance, scheduling, and audit preparation to ensure compliance with U.S. Department of Transportation (DOT) and Federal Transit Administration (FTA) regulations. The position also provides administrative support to the Safety Department on an as-needed basis to include file management, data entry, maintenance of logs and databases, preparation of routine reports, and other duties as assigned by the Drug and Alcohol Program Administrator and other Department managers. The role requires strict confidentiality, accuracy, and timeliness, and supports departmental operations through flexible scheduling, coordination with internal teams, and administrative assistance during audits, reviews, training, and other compliance-related activities. Due to the safety-sensitive functions of the Department and the critical role it plays in ensuring safe, 24/7 transit operations, position responsibilities occasionally require work outside of normal business hours, including nights and weekends.

Requirements

  • High school diploma required.
  • One (1) to three (3) years of verifiable work experience related to business administration, public administration, safety, or compliance.
  • Valid Louisiana driver’s license
  • Ability to meet background and hiring requirements

Nice To Haves

  • Two (2) to three (3) years of administrative support, safety support, or compliance experience preferred, ideally in a regulated or compliance-focused environment.
  • Bachelor’s degree or 5 years’ combination of education and experience preferred.

Responsibilities

  • Maintain accurate, complete, and confidential Drug and Alcohol Program records in accordance with DOT and FTA requirements.
  • Assist the Drug and Alcohol Program Administrator with daily administrative tasks, including calendar management, correspondence, tracking deadlines, and follow-up on required documentation.
  • Perform data entry, record updates, and routine verification of logs and reports to support compliance monitoring, internal/external reporting, and continuous improvement efforts.
  • Track pre-employment, random, post-accident, reasonable suspicion, return-to-duty, and follow-up testing documentation to ensure required steps are completed.
  • Assist with scheduling and coordination of testing, training, meetings, and program-related activities.
  • Prepare reports, briefs, correspondence, and other documentation for internal reviews, external audits, inspections, and regulatory or other third-party requests.
  • Support the Department’s audit readiness by organizing files, validating record completeness, and assisting with corrective action documentation as directed.
  • Provide secondary support for drug and alcohol testing collections, safety-related training, compliance activities, report writing, data entry, maintenance of logs and databases, and other Department processes as needed, including occasional evening, overnight, or weekend assignments.
  • Assist with preparation, delivery, and distribution of training materials and communications directed to all RTA employees and/or contractors related to safety and compliance matters.
  • Coordinate office operations, including document scanning, filing, and supply management as directed.
  • Support collaboration and program delivery within the Safety and Drug and Alcohol Departments by assisting team members with administrative tasks as directed.
  • Support the Department’s accounting and budgeting processes in accordance with agency policies.
  • Maintain professionalism and confidentiality when handling sensitive employee information and compliance with information.
  • Follow all company policies, Drug and Alcohol Program requirements, and applicable federal regulations.
  • Fulfill other duties as assigned by the Chief Safety, Security & Emergency Management Officer and/or the Drug and Alcohol Program Administrator.
