About The Position

The Drilling Office Manager is responsible for accurate and timely setup of new projects including review of the contract or proposal. This position is accountable for reviewing and entering daily equipment logs for costing and client billing. This position works closely with Client Managers, Project Managers, and other Administrative staff in the analysis of project costs and profitability. This position works daily with the Drilling Division Lead and reports to the Drilling Department Manager.

Requirements

  • Must possess a high level of confidentiality.
  • Well-organized, detail-oriented, and able to handle a fast-paced work environment. Ability to prioritize tasks.
  • Strong time management skills while working on multiple projects and deadlines.
  • Self-starter and organized.
  • Effective communication skills.
  • High School Diploma or GED required.
  • For insurability purposes a valid driver’s license is required.

Nice To Haves

  • Two (2) years or more in Administrative Support role.
  • Knowledge of Deltek software systems (Ajera, Vision, or Vantagepoint).

Responsibilities

  • Effectively communicate with Project Managers and Client Managers regarding contract documents, change orders, approvals, and any additional services related to billing.
  • Setup new projects and proposal projects in the database daily for multiple offices.
  • Review and enter daily equipment logs for costing and billing records.
  • Manage PO’s and vendor invoice approval
  • Assemble Job Binders and maintain misc. other project paperwork
  • Regular 811 Utility Locate Calls
  • Maintain training management records for Drilling staff, including but not limited to training reminders, scheduling training times, working with the LMS to maintain training records and documents
  • Compile information for internal and external reporting, as needed.
