About The Position

The Recruiting Program Specialist at the Texas Department of Public Safety (DPS) plays a crucial role in supporting the Trooper Trainee Academy program. This position involves managing documentation related to recruiting efforts, ensuring compliance with state regulations, and providing assistance to the Recruiting Unit. The specialist will interact with potential Academy trainees, the public, and various government agencies, while also performing administrative tasks and data analysis to enhance the recruitment process.

Requirements

  • High School Diploma or equivalent is required; Associate's degree with Major or coursework emphasis in Office Administration & Technology, Organizational Development, Public Administration or a related field is preferred.
  • Minimum two (2) years performing progressively complex office management support to include maintaining records and auditing files.
  • Experience with proctoring tests and scheduling interviews preferred.
  • Proficiency with Microsoft Office and appropriate levels of proficiency with utilized software and systems (e.g. CAPPS, SharePoint).
  • Ability to exercise poise, tact, diplomacy and establish and maintain positive, working/professional relationships with internal/external customers.
  • Must be organized, flexible, and able to effectively prioritize in a multi-demand and constantly changing environment.

  • Experience with law enforcement or military background is preferred.

Responsibilities

  • Enter, update, and retrieve information from various automated systems, e.g. CAPPS Applicant Tracking System and Polygraph VATS.
  • Review, maintain, and distribute appropriate applicable files and records for applicants.
  • Administer and score Trooper Trainee Reading and Math Skills Tests; proctor in person and online psychological tests; and conduct basic vision checks.
  • Schedule and coordinate applicants with medical and psychological providers as applicable for trooper trainee applicants.
  • Prepare, process, and coordinate a wide variety of forms, documents, and folders, ensuring accuracy, completeness, and timeliness.
  • Compile and analyze data from Trooper Trainee surveys and questionnaires.
  • Prepare and revise Trooper Trainee Academy announcements/postings and the related Trainee description.
  • Process personnel actions and review completed personnel actions to ensure conformity with agency, state, and federal regulations for Trooper Trainee applicants.
  • Process and/or respond to requests for information from various government agencies.
  • Provide advice and counsel to applicants and department employees on issues, rules, and policies related to Trooper Trainee Academy applicants.
  • Assist in screening applications; evaluating their qualifications; and referring qualified applicants to the appropriate region and recruiter.
  • Assist with investigating and resolving Trooper Trainee application-related issues along with developing human resources policies and procedures for processing applications.
  • Audit Trooper Trainee applicant files in regional locations, conduct related training to ensure accurate and complete files.
  • Attend work regularly and observe approved work hours in accordance with agency leave and attendance policies.
  • Perform other duties as assigned.
