About The Position

The Records Analyst position at the Texas Department of Public Safety involves performing complex records management and policy work. The role includes reviewing records and policies, maintaining procedures, and ensuring compliance with regulations. The analyst will work under general supervision, utilizing initiative and independent judgment to manage records effectively.

Requirements

  • Graduation from a standard senior-high school or equivalent is required.
  • Minimum of one year experience in records management, policy review, writing, implementation, office management, business administration, or project management.
  • Knowledge of TXDPS, State and Federal regulations, legislation, guidelines, policies, and procedures related to records management.
  • Knowledge of management and supervisory methods and principles, performance standards, and fiscal/budget management.
  • Ability to establish and maintain positive working relationships with internal and external customers.
  • Organizational skills to prioritize tasks in a changing environment and meet deadlines without sacrificing quality.
  • Ability to construct and deliver clear presentations to various audiences.
  • Proficiency with Microsoft Office and familiarity with software such as CAPPS, SharePoint, and Tableau.

Responsibilities

  • Process disposition logs and quarterly audits for Records Management, reviewing and approving audits, and conducting random audits agency-wide to ensure compliance.
  • Monitor the Records Management inbox, respond to queries, schedule training, and provide updates to Records Management Liaisons (RMLs) about policy and statute changes.
  • Audit and maintain the DPS Records Retention Schedule, processing requests for amendments from RMLs for submission to TSLAC.
  • Assist with changes to the DPS General Manual regarding Records Retention practices and serve as a resource to DPS Records Management Liaisons.
  • Assist divisions with making and requesting changes to policy manuals, processing revision requests, and publishing updated documents on DPSnet.
  • Coordinate policy changes by divisional vote and assist with routine cycle reviews of chapters in the General Manual.
  • Facilitate trainings for records management practices and create job aids for divisions.
  • Monitor and maintain the SharePoint Site, ensuring updates and changes are made as necessary.
  • Assist with agency storage coordination for records at DPS and the State and Local Records Management Center.
  • Prepare dashboards, reports, and summaries related to the records management program.
  • Monitor applicable legislation impacting the division and assign legislative bill analysis and fiscal notes.
  • Perform other duties as assigned.
