About The Position

The Administrative Assistant II - III position at the Texas Department of Public Safety involves providing routine administrative support and technical program assistance. Requirements

  • Graduation from a standard senior-high school or equivalent is required.
  • Graduation from an accredited four-year college or university with a major in Liberal Arts, Business or Public Administration, Social Science, or a related field is preferred.
  • Minimum of two (2) years' progressively responsible work experience performing clerical/secretarial work in an environment involving concentrated use of personal computers using word processing software is required.
  • Work experience in a law enforcement work environment is preferred.
  • Must possess a valid driver license from state of residence.
  • Working knowledge of TXDPS, State and Federal regulations, legislation, guidelines, policies and procedures.

Responsibilities

  • Prepare and disseminate information concerning division programs and procedures.
  • Prepare and distribute correspondence, reports, studies, forms, and documents.
  • Maintain filing and record-keeping systems.
  • Perform general office duties such as ordering supplies and basic bookkeeping work.
  • Respond to inquiries and interpret rules, regulations, policies, and procedures.
  • Plan meetings, conferences, and seminars.
  • Participate in the planning and execution of an agency program.
  • Compile and enter data for charts, graphs, databases, summaries, or reports.
  • Assist in the development of administrative or technical assistance policies and procedures.
  • Answer phone calls, route incoming calls, take messages, greet visitors, and direct visitors to appropriate staff.
  • Review and edit reports to ensure compliance with rules and regulations.
  • Research, compose, design, or edit division publications such as brochures, forms, and manuals or presentations.
  • Develop training materials.
  • Manage and maintain schedules and travel arrangements for supervisors/managers.
  • Train others as needed.
  • Serve as notary public if required.
  • Research databases to assist agents in the identification of suspects.
  • Assist with case preparation for prosecution phase.
  • Attend work regularly and observe approved work hours in accordance with agency leave and attendance policies.
